Responsibilities:
Act as the front desk representative, providing exceptional customer service and support to all visitors and employees.
Coordinate with vendors for office maintenance and HVAC-related issues.
Manage incoming and outgoing mails, including sorting, scanning, and distributing to the appropriate recipients.
Serve as the point of contact for the security system, maintaining access logs, generating passcodes, and overseeing security card printing and distribution.
Provide general administrative support to the manager, including arranging lunches, preparing purchase orders, tracking invoices, and coordinating with vendors.
Assist in maintaining office inventory controls and tracking expenses.
Proficiency in Microsoft Office suite, especially PowerPoint and Excel, for preparing presentations and managing data.
Qualifications:
Previous experience as a receptionist or facility coordinator preferred.
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Excellent communication and interpersonal skills.
Detail-oriented with a proactive approach to problem-solving.
Ability to work independently and as part of a team in a fast-paced environment.
Familiarity with office equipment and systems.
Experience with vendor coordination and knowledge of office policies and procedures is a plus.
