We are seeking a motivated and analytical Operations Specialist to join our team. As an Operations Specialist you will be responsible for performing day to day AR tasks and related sales activities requiring invoice, order form, and proposal creation. You will play a crucial role in the execution of financial transactions and driving the sales process with excellent customer care.
About you:
- Associate or bachelor’s degree in business or equivalent work experience
- Two or more years’ experience in accounts receivable billing a plus
- Experience engaging with customers directly, providing excellent customer service
- Strong analytical skills, accuracy and attention to detail a must
- Proficient using Excel
- Ability to thrive and perform under tight deadlines while managing competing demands
- A positive attitude and exceptional reliability
- Unquestionable integrity and ethics
Your Responsibilities:
- Generate and track client invoices, proposals, order forms, and change order requests
- Generate, collect, and track customer renewals to help ensure timely payment
- Notify clients in advance of renewals / recurring payments
- Manage and report on aging receivables on a weekly/monthly basis
- Create new projects on behalf of Consulting using internal online project tracking system
- Communicate directly with customers to capture authorizations and timely payment
- Provide general office admin support (office supplies, checks received)
- Provide coordination for in-office meeting space requests
- Act as liaison to Germany HQ with IT, Legal, and Finance to facilitate scheduling and coordination of the onboarding process
- Contribute ideas and suggest process improvements to drive greater efficiencies
- Maintain positive, productive relationships with internal resources and customers
