DEPARTMENT: ADMINISTRATION
JOB TITLE: PBX OPERATOR
REPORT TO: Clinic Manager
BASIC FUNCTION: Will be responsible for answering the centralized telephone system (PBX)
REPRESENTATIVE DUTIES: The duties recorded below are intended to accurately represent the duties of the class and are not intended to cover every single duty of the job.
1. Answers all calls in a courteous and efficient manner at all times.
2. Will transfer incoming calls to the appropriate extensions and/ or department, will take messages when necessary and leave on message center.
3. Will sort and distribute incoming mail.
4. Greets the public when they request administrative/management support.
5. Schedules meetings and training as assigned by immediate supervisor.
6. Responsible for receiving incoming faxes and route to the correct personnel; and will fax in a timely manner; responsible for its maintenance such as paper, imaging film, supplies, etc.
7. Will assist in public relations and community outreach efforts of Innercare through the provision of flyers, posters, solicitation support from other entities and individuals, and other community outreach activities as assigned.
8. Other duties as assigned.
EDUCATION AND EXPERIENCE: High school diploma and/or Associate of Arts in Secretarial Science or Business including courses in typing, basic math, letter writing, and composition preferred.
KNOWLEDGE AND ABILITIES: Good customer and telephone skills are a must. Ability to type 40-45 wpm. Knowledge of PBX operations. Knowledge of office procedures and systems required. Must be adaptable and willing to accept responsibility. Ability to relate and work well with co-workers. Confidentiality is to be maintained at all times. Bilingual in English and Spanish.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES: Not applicable- no assigned permanent employees to supervise.
PHYSICAL EFFORT: Good physical and mental health. Sitting for long periods of time. Manual Dexterity. Walks in small areas. Works well under constant interruptions and pressure.
CONTACTS: Supervisor, co-workers, other Innercare department personnel, clients, and the general public.
WORKING CONDITIONS: Normal office environment; work may require extensive VDT exposure. Work is performed under stressful conditions. Must comply with the Innercare Corporate Compliance Program.
