Job Summary

InSite Clinical Research is a small, privately owned business performing Phase I-IV clinical research trials in the Dallas, Texas, area. Our primary focus is on drug development research involving central nervous system (CNS) and psychiatric disorders. Conditions we specialize in are: Schizophrenia, Schizoaffective, Depression, Bipolar disorder, Major Depressive disorder, Anxiety disorder, Opioid dependency, Alzheimer's Disease, ADHD, OCD, and more.

The Patient Recruitment/Enrollment Specialist coordinates efforts to maximize enrollment in clinical research studies. This individual is responsible for identifying subject recruitment sources, as well as screening and referring subjects for potential study participation. General knowledge of medications (including psychiatric medications), mental health and disease diagnoses, and medical terminology required. Ability to obtain medical histories and the ability to assess study subject eligibility utilizing clinical assessment skills also required. Excellent phone, computer, and customer service skills are an absolute necessity.

Responsibilities and Duties

  • Recruit subjects for multiple studies by answering inbound calls and placing outbound calls daily.
  • Obtain privileges at local mental health hospital for recruitment purposes.
  • Implement various recruitment strategies for different studies in alignment with organizational goals and objectives, as well as enrollment contracts with Sponsors.
  • Establish and build successful working relationships with physicians, associations, group/boarding homes, support groups and related organizations to raise awareness of participation in studies.
  • Schedule pre-screening visits with clinical team to determine eligibility based on Inclusion/Exclusion criteria and work effectively with the Clinical Research Coordinators to schedule appropriate subjects to screening.
  • Work effectively with the study team to develop plans and ideas for the generation of new study subject leads.
  • Manage new leads quickly and effectively to convert potential subjects to enrolled study subjects as efficiently as possible.
  • Utilize Electronic Medical Records (EMR) system and research database to generate leads for current and upcoming trials and regularly update most recent subject information contained there.
  • Triage potential subjects and align them with the best study to meet the needs of the subject, organization, and sponsor.
  • Ensure medical records release authorization forms are properly completed by potential subjects and request medical records before or after pre-screening and provide regular updates to Study Coordinators and Operations Manager in regards to subject eligibility timelines.
  • Communicates with Sponsor personnel regarding study performance and enrollment.
  • Support office efforts by assisting with in-person pre-screening, customer relations, and community events etc. when needed.
  • Maintain, track, and collect data related to community outreach recruitment efforts
  • Maintain study specific recruitment portals and process potential subjects within 48 hours and properly update recruitment portals regularly.
  • Meet regularly with Site Management and Principal Investigator to discuss recruitment, strategies and tactics, and provide updates and reports in regards to recruitment efforts on a weekly basis.
  • Update Outlook calendar daily with pre-screening subjects, screening subjects, and subjects requiring use of UBER transportation service.
  • Update research database (excel spreadsheets) regularly with pending subjects, pre-screening subjects, and screening subjects.
  • May assist in transportation of patients from local mental health hospital to our overnight unit.
  • May assist in transportation of patients to and from boarding homes, or patient's home.
  • May utilize company transportation to track and find patients that have gone missing or become difficult to locate.
  • Perform ad-hoc projects/tasks as needed.

Qualifications and Skills

  • Excellent verbal and written communication skills; must be able to communicate effectively across multiple channels.
  • Professional presentation.
  • Strong time management, assessment, planning, and organizational skills.
  • Ability to multi-task and work well under pressure.
  • Attention to details.
  • Independently motivated and capable of working effectively with minimal supervision
  • Handles confidential information appropriately (must follow HIPPA and Good Clinical Practice guidelines).
  • Highly proficient in various computer systems including online web-based software, MS Office (Word/Excel) and Outlook.
  • Knowledge of psychiatric and CNS conditions and treatment plans highly preferred.
  • Bi-Lingual is preferred.
  • Associates degree required or a minimum of 3 years of sales/customer service experience.
  • Bachelor's Degree, with a focus in Marketing or Communications is preferred.
  • Previous clinical research experience (study coordinator or patient recruitment/enrollment specialist) highly preferred..

Pay: $17.50 - $19.50 per hour
