Job Description:
SUMMARY/POSITION OVERVIEW
The primary purpose of this position is to assist the Property Maintenance department with various responsibilities.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Assist Director of Property Maintenance & Warehouse Management by performing administrative tasks as assigned
- Be the Director of Property Maintenance & Warehouse Management’s communication backup when he/she is out of the office
- Schedule and arrange meetings and reminders for Director and Property Maintenance team
- Manage Director of Property Maintenance & Warehouse Management calendar
- Communicate with vendors and process all legal contracts for vendor services, as needed
- Oversee and maintain the budget for Property Maintenance Department
- Provide reports for Director and EVP when requested
- Perform general clerical duties including timecard approvals and time off requests
- Process check request, as needed
- Process POs, as needed
- Process budget revisions, as needed
- Process expense reports and reconcile through Visa Clarity
- Process invoices through AvidXchange
- Provide customer support on the Help ticket system concerning maintenance needs
- Dispatch Help tickets to maintenance staff and thoroughly respond once completed
- Improve property management work processes, as needed
- Order office supplies
