Regional Support Specialist - Description Position Summary:
In this position you will support the Regional and Community Managers in performing the day-to-day operations for a portfolio of manufactured home communities and the planning and execution of activities associated with the maintenance of the communities to meet quality standards set by the Company. This includes conducting follow-up training and coaching with the community staff in areas pertaining to the daily operation of the communities, as well as acting as a liaison with other departments in the Company and with outside vendors.
Specific Job Duties:
· Verifies all Community Managers have submitted expense and credit card reports
· Assists in the development of community budgets and business plans
· Coordinates the approval process for invoices and capital expenditures requests; tracks requests and expenditures to ensure alignment with budget
· Assists in resolving unusual resident problems, as well as community related emergencies
· Standardizes new move in forms and prepares for loading into Manage America (MA)
· Standardizes collection letters and prepares for loading into MA
· Performs on-line training for new users on the Back Office (BO) software platform
· Administers and Audits BO reports to identify differences between BO and MA, capex reallocations and ensure timelines, delivery and completions dates
· Assists Regional Managers in tracking progress of vacancy site checklists (VSC) and reviews, site preparation, home requests, construction requests and new home orders
· Works with Regional Managers to submit, review and audit the status of new home orders
· Prepares employee housing agreements and updates annually
· Reviews, approves and processes payment agreements with the residents (PAG’s)
· Reviews and approves requests for charges and credits
· Provides support for MA administration, auditing, and reporting
· Conducts utility programming for properties that require manual entry
· Provides Key Bank training to community managers
· Handles trash invoice management, sends master meter billings to MA as requested and analyzes utility variances
· Checks on title status in Snickfish for community managers
· Answers questions, explains policies and procedures, shares information and encourages open communication within the communities
· Performs other duties as assigned or apparent
Education, Knowledge, Skills and Abilities:
· High School diploma or equivalent is required, Associates degree or BA is a plus
· Three to five years of administrative experience preferably in the Manufactured Homes or similar industry
· Strong organizational skills and excellent analytical skills are required to meet the minimum standards of the position
· Must be able to multi-task and have a high degree of self-control to maintain a composed, problem solving approach when faced with controversial issues and pressing time demands
· Must be a team player with superior customer service skills
· Strong written and oral communication are required to effectively interact with multiple Community Managers
· Must be able to develop relationships, credibility and rapport and relate to others in an honest and straight forward manner while incorporating cooperation, trust and respect for others
· The ability to adapt to change and work in a fast-paced environment is critical to the success of the position
· Must have a high level of integrity to handle confidential information
· Must be able to travel regionally 25% of the time
· Must have a valid driver’s license and be authorized to work in the United States
Physical Requirements:
To perform this job, the employee will be required to sit, type, talk and listen. The employee will also be required to stand, walk, reach and lift objects.
