The Institute for Applied Behavior Analysis (IABA) is Hiring an Operations Scheduling Coordinator
We are looking for a driven self-starter with excellent communication and organization skills and an upbeat attitude. The Operations Scheduling Coordinator is responsible for the overall stability of our clients receiving their prescribed hours of medically necessary Applied Behavior Analysis services in the specified regions.
To be successful as an Operations Scheduling Coordinator at IABA, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Candidates must be comfortable with computers, Google Suite, Microsoft Teams, and general office tasks, and excel at verbal and written communication.
RESPONSIBILITIES:
Leadership
- Oversee the Schedulers and their roles and responsibilities.
- Review Clinical Caseloads to maximize BCBA availability.
- Work with other departments for process improvement
- Provide support to the field team with programs and software needs.
- Other duties and tasks assigned by the supervisor
Reporting
- Run weekly cancellation, non-billable, and billable reporting for review with the leadership team.
- Prepare payroll reports in accordance with the payroll guidelines and expectations.
- Audit and maintain company programs and software data accuracy
- Review and confirm Authorization hours vs Treatment Plans submitted
Compliance
- Ensure the team remains HIPAA Compliant in the office and out in the field
- Work with the Client Services Management Team to ensure that our clinical team is credentialed and in good standing with all funding sources.
- Evaluate, report, and correct risks/compliance concerns
- Review and audit funding source guidelines, manuals, and rates and update the clinical team with findings, as needed.
Requirements
QUALIFICATIONS AND SKILLS:
- Must be at least 18 years of age, required
- Must have a High School Diploma, or equivalent, required
- Experience or interest in working with individuals with disabilities preferred
- At least 2-3 years of scheduling experience, healthcare scheduling a plus
- Reliable means of transportation required
- Experience with behavioral intervention or familiarity with autism preferred
- Background and fingerprinting clearance, required
- Cleared TB test, where required
- Completed First Aid and CPR training within 30 days of hire, required
