Position Summary
An Event Coordinator is responsible for overseeing particular tasks throughout the event planning process. The duties and responsibilities of an Event Coordinator center on planning and managing events of varying sizes and purposes. Event Coordinators have to understand what it takes to make sure the logistics work out, keep everything within the allocated budget and ensure that the event itself is carried out smoothly. There is also an element of creativity and strategy that is required in creating the right event depending on the audience.
Job Qualification Requirements
- Bachelor’s degree in marketing or related discipline
- Min 1 year of related marketing experience, ideally in event marketing

- Highly organized and proficient at managing multiple events, resources, budgets, vendors, and onsite personnel
- Experience partnering with technical vendors

- Preferred familiarity with event management software, project management tools, and event-related technology (e.g., AV equipment).

Core Job Responsibilities
- Manage Integris event and tradeshow strategy, including but not limited to: identifying key events, internal team training for attendees (elevator pitch, presentations, demos, etc.), maintain pre and post communication, monitor event attendance, set and keep to a budget.
- Create and manage budgets for events, ensuring that expenses are within budgetary constraints
- Work with marketing team, sales team, and local managing directors to organize staff, customer and sponsored events
- Develop event strategy and objectives, spearhead initiatives to meet objectives based on lead generation, customer advocacy, and more
- Negotiate and execute contracts for large- and small-scale events
- Drive marketing influenced pipeline and generate leads through onsite activities and support of the sales team
- Interact with key decision makers and accountholders
- Work with in-house marketing team to execute events, including, but not limited to, registration, email marketing, social and paid ads, and videography.
- Responsible for ordering and tracking event inventory including collateral, giveaways, tradeshow booths, etc.
- On the day of the event, oversee all activities, ensuring everything runs smoothly. This involves troubleshooting and making real-time decisions to address any issues that arise.
- Travel to events to provide on-site event management.
- Occasional travel will be required
