SUMMARY OF POSITION AND RESPONSIBILITY:
INTRUSION Inc. is looking to hire an accounts payable / office administrator. As an accounts payable / office administrator, you will work directly with our Controller and CFO, as well as other members of our corporation, to accurately process payables and assist with other financial functions of the company on a timely basis. As an accounts payable / office administrator, you will have the hands-on responsibility of processing and analyzing important company records and will be charged with providing valuable financial insights to management. Attention to detail, quality focus, high energy, and flexibility to a deadline driven organization while remaining calm. In this role you will need to work well in a team environment, be able to represent employees with professional courtesy and acumen and deliver excellent work products.
ESSENTIAL FUNCTIONS:
· Lead the Accounts Payable process, including vendor set-up, bill aging, payment, , mailing and archival in accordance with
company policies.
· Obtain W-9s and Certificates of Insurance and process annual 1099s.
· Facilitate the Company credit card program, through reconciliation, processing, and payment. Issue employee reimbursements
when necessary.
· Complete journal entries, maintain subledger and supporting schedules.
· Work at the reception, being the main point of contact when a person needs help to get to the office.
· Screen incoming calls and visitors to determine the level of priority, while using caution in dispensing information.
· Work collaboratively with other administrative assistants, in positive partnership to support each other.
· Liaison with Building Management and coordinates access for employees to building.
· Perform various ad hoc tasks and projects as assigned by the Controller or CFO.
· Support preparation of quarterly and annual SEC filings.
Requirements
QUALIFICATIONS (EDUCATION, CERTIFICATIONS AND/OR TRAINING:
· Must be pursuing a Bachelor’s degree required, preferably in accounting.
EXPERIENCE:
· QuickBooks experience and advanced Excel skills desired.
ESSENTIAL SKILLS, KNOWLEDGE, ABILITY AND MENTAL REQUIREMENTS:
· Strong work ethic, attention to detail, ownership for responsibilities.
· Ability to work in a fast-paced work environment.
· Substantial quantitative and analytical skills; verbal and written communication skills.
PHYSICAL DEMANDS AND WORK CONDITIONS:
· Professional office environment.
· Eyesight and hearing must be correctable to standard level.
· While performing the job, the employee is regularly required to talk and hear.
· The ability to occasionally lift office products and supplies up to 30 pounds, reach and bend.
· Ability to work the standard 8:30 to 5:30, Monday through Friday, work week.
· Longer hours, evenings and weekend work will be necessary as needed.
