PRIMARY PURPOSE AND FUNCTIONS

As a Business Operations Coordinator, you'll be an integral part of the operations team, supporting various functions crucial to our affiliate program’s success. This includes supporting business operations in areas such as Accounting & Finance, Legal, and Administrative support for all affiliate programs. Reporting directly to the Head of Business Operations, you'll need to be driven and hard-working, thriving in a dynamic environment. Your excitement for collaborating with high-growth startups and organizations across diverse sectors is paramount. Additionally, you'll serve as an exemplar of inclusivity, equality, and equity, promoting these values across all your interactions internally and externally.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Support the Head of Business Operations in coordinating Accounting & Finance, Legal, and Administrative functions
  • Reconcile expenses and financial records to ensure accuracy and monitor program expenses in alignment with finance and accounting guidelines
  • Manage accounting payables entries, coding and submit invoices for payment approval
  • Contribute to developing and implementing internal operational processes for ongoing improvement
  • Maintain and organize digital and physical filing systems
  • Assist with the preparation of reports and presentations
  • Serve as a point of contact for external vendors and service providers
  • Provide general administrative support to the operations team as needed
  • Other duties as assigned

KNOWLEDGE EXPERIENCE AND SKILL REQUIREMENTS

Knowledge Experience

  • 1 year of experience with business operations, business administrative support, accounting, and finance
  • Proficient in using computer software tools like Microsoft Office 365, Google Suite, Adobe, Canva, Slack, Asana, etc.

Physical Requirements:

  • Ability to sit in front of a computer monitor for multiple hours at a time
  • Ability to lift and carry supplies and materials up to 25 lbs., as needed
  • Position continually requires the ability to talk and hear both in person and over the phone; ability to operate equipment, read, and use a keyboard
  • Ability to sit, walk, and stand for extended periods of time
  • Ability to travel for professional development, other learning opportunities, and in-person meetings

Hours & Location:

  • This is a hybrid position (remote and office-based in Tulsa) with a work schedule that is mutually agreeable to the candidate and supervisor. The candidate must live in, or relocate to, Tulsa, OK or surrounding area
  • This hybrid schedule requires a reliable internet connection and dedicated workspace in-home.
  • This is a part-time position with an expectation of working 20 hours per week during normal business hours (8:00 AM – 5:00 PM)
