Position Summary :
The Human Resources and Administrative Assistant is primarily responsible for garnering their knowledge, skills, and abilities to assist the HR Services Team as they resolve clients’ HR needs as well as providing support to the Owner / CEO.
This position is responsible for the performance of both HR coordination and general administrative assistance tasks. This position is responsible for upholding the WYHR quality of work and ensuring professionalism is extended throughout all internal and external interactions.
Job Description :
Role and Responsibilities
- Research, prepare, and support the HR Services team with various HR projects and complete internal standard operating procedures, checklists, and processes
- Proactively identify ways to enhance efficiency, streamline processes and unburden the WYHR team while improving the client experience
- Conduct HR administrative duties as assigned such as submitting background checks, data entry, records audits, interview scheduling, candidate communication and follow-up, filing, etc
- Prepare and proofread documents, reports, presentations, executive talking points, and other written materials
- Assist with social media posts, distribute electronic marketing campaigns, identify viable networking events, coordinate speaking engagements, register for trade shows and conferences, and manage client databases
- Answer and triage phone calls and emails, coordinate schedules, manage calendars, assist with travel arrangements and accommodations as well as manage incoming and outgoing mail
- Work with Client Services Manager with new client intake, setup of client meetings and follow-up as needed
- Attend, take notes and provide support during in person and virtual team meetings, client meetings and events as well as arrange and prepare complex itineraries and agendas
- Analyze and prepare summaries using a variety of data sets and research regarding market, industry, and issues that may impact the business and services
- Establish, organize, and maintain physical and digital files as well as inventory tracking and ordering of office supplies, marketing materials, and collateral
- Participate in weekly and daily check-in meetings with detailed account of work progress
- Serve as an assistant to CEO, as needed, including researching, prioritizing and following up on issues and concerns, which may be sensitive, personal or confidential in nature
- Additional duties and projects as assigned
Qualifications and Education Requirements
- Associate degree in business, marketing, communication, human resources, or related field
- Minimum of two (2) years proven experience in an administrative support role and preferably one (1) additional year in a human resources support role
- Excellent note taking skills and ability to type at least 60 WPM while being highly accurate
- Flexible problem solver willing to adapt to change inherent in a growing organization
- Ability to manage a highly driven, goal oriented, and passionate executive with a large portfolio of clients
- Ability to integrate within a diverse team and exhibit exceptional collaborative skills
- Extremely professional demeanor and service-centered attitude
- Must have a vigorous work ethic and impeccable integrity
- Solid communication skills both verbal and written and strong interpersonal skills
- Self-motivated; able to work independently with minimal supervision; willingness to continually learn
- Must be detail oriented, thorough, and work with dynamic timelines
- Ability to move quickly from one task to the next without mistake and understand complex verbal and written instructions
- Advanced Microsoft Office Experience; Word, Excel, PowerPoint, OneNote, Outlook, Teams
- Working knowledge of LinkedIn, Facebook, Instagram and various social media platforms necessary
- Proficient with DigiSigner, Zoom, Canva, MailChimp, Scribe, and Quickbooks (including Workforce) a plus
Working Conditions and Physical Demands :
- Ability to physically stand, bend, sit for long periods, and squat throughout the day
- Ability to repeat the same movements
- Use hands to type, handle, control or feel objects, tools or control
- Ability to work daily in an office located in Tulsa, OK
- Occasionally lift or move up to 25 lbs.

- Work is generally performed Monday through Friday 9 : 00 to 5 : 00 p.m.; overtime as authorized and some work assignments and deadlines may require work outside of standard hours
