SUMMARY:

The Administrative Coordinator supports the Administration Department with responsibilities related to human resources, finance, administration, and office operations, and provides backup coverage for front desk reception as needed. This is a 40-hour-per-week position, on-site at our Tenleytown location.

SPECIFIC RESPONSIBILITIES:

Human Resources

  • Assist HR Specialist with maintaining accurate employee files, rosters, and database.
  • Assist with onboarding and offboarding tasks including ID badges, access cards, and keys.

Front Desk Reception

  • Provide reception coverage for Iona’s main phone line.
  • Provide alternate front desk coverage as needed.

Procurement and Mail Management

  • Place monthly office supply orders through approved vendors.
  • Maintain incoming and outgoing mail processing. Maintain staff mailboxes

Account Receivables and Payables

  • Log incoming donations and payments. Prepare weekly deposit as structured by the Finance Department.
  • Process credit card reconciliation for Administration Department.

Development and Communications

  • Assists the Development and Communications department on average 10 hours per week.
  • Records donations into Raiser’s Edge database.
  • Utilize Microsoft Office 365, SharePoint, Teams, and Word to produce mailed Acknowledgements and to store backup for donations.

Administrative and Operations Support

  • Coordinate printing of marketing and communications materials for fulfillment requests.
  • Assist Building Manager with office equipment maintenance and service calls.
  • Oversee Loan Closet operations.
  • Maintain events and meeting room calendars. Manage room scheduling and set-up for Board meetings and other special events.
  • Other duties as assigned.

REQUIREMENTS:

  • 2-5 years of advanced administrative experience preferred.
  • Highly proficient in Office 365 suite, including Teams.
  • Knowledge of human resource concepts, practices, policies, and procedures, including but not limited to ability to maintain strict confidentiality when handling sensitive information.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to analyze and solve problems.
  • Skill in organizing resources and establishing priorities.
  • Ability to create, compose, and edit written materials.
  • Ability to make administrative/procedural decisions and judgments.
