Business Operations Specialist

Job description

We are looking for an experienced Operations Specialist to provide support for a well-known IT research team, reporting to the Business Operations Manager. Someone who is detail orientated, motivated, process-driven and has a passion for customer service and serves others with a friendly and approachable attitude. They are looking for someone who can work independently but also know when to speak up when needed. You will be partnering with the Business Operations team in day to day supporting the entire team.

Key Accountabilities:

• Microsoft Office, Microsoft Excel, Pivot tables, Windows, HeadTrax, MyOrder, MSInvoice.
• Close cooperation and partnership with the Project Owners, Business Ops Managers, Business. Admins, Finance, Legal and LT members on projects.
• Business process excellence: recognize opportunities to implement standardized processes and systems to solve business problems, consistently applying process improvement methodologies.
• Partner with Finance and other key stakeholders to ensure proper documentation are included for all Contracts and Pos.
• Oversee timely process completion of Contract Execution, MyOrder/PO Processing, Onboarding Resources/ECA, New Supplier Setups.

Qualifications

• 4 years related work experience in business support, strategic sourcing, supplier management, finance, business development or related discipline.
• Knowledge and proficiency with Microsoft products and internal systems including Outlook, Microsoft Office, Microsoft Excel, Pivot tables, Windows, HeadTrax, MyOrder, MSInvoice.
• Strong understanding of end-to-end procurement, financial systems, policies, and functions.
• Build and maintain effective working relationships and accommodate diverse working styles.
• Ability to adapt to daily challenges and rapid changes.
• High level of effective interpersonal skills and excellent customer service.
• Ability to organize and lead the admin community.
• Analytical thinking and a keen eye for detail.
