Specialties Company, LLC a division of imi is seeking an energetic, organized & responsible Contracts Administrator / Accountant team member for our Indianapolis office. This position will report to the Controller. The ideal candidate must be professional, have accounting procedure proficiency, possess strong problem solving, organizational and customer service skills, and be computer literate.

Duties & Responsibilities
  • Gather & process all aspects of both Prime and Client provided contracts including reviewing of contracts compared to Specialites quotation and notes - amending as necessary, as well as ordering insurance certificates and/or bonds as required by contracts.
  • Issue Subcontractor contracts and track subcontractor requirements and pay applications as required.
  • Set up Contract Billing items in our accounting software (Vista by Viewpoint)
  • Processing in Job Billings or Accounts Receivable all pay estimates twice a month or as required by the Contract in our accounting software and all required additional billing requirements per the contract (AIA billings, waivers and the like).
  • Process and reconcile all completed projects and communicate any differences with Management. Adjust contract billings as necessary.
  • Provide job cost details as necessary for Change Order or accident billings as requested & review for accuracy before input into Accounts Receivable.
  • Maintain job files including contracts, certificates of insurance, performance bonds, lien waivers, purchase orders, material tickets, etc.
  • Collection calls as necessary
  • Month end reconciliation and year end audit responsibilities

  • Proficient with Word, Excel, Google Sheets and Docs: must have experience in setting up spreadsheets with some calculations and formatting.
  • Ability to manage multiple projects and prioritizes his or her responsibilities accordingly
  • Self starter and ability to learn on the fly and seek out answers
  • Must have strong interpersonal and communication skills
Education
4-year accounting or equivalent field required. Heavy Highway Construction and /or Vista by Viewpoint software experience a plus.
