Job Summary

Getty Publications is seeking a full-time Senior Staff Assistant to support the Rights and Sales staff. Duties include scheduling meetings and taking minutes; updating documents, running and distributing reports; preparing and distributing sales materials and other digital assets; and regularly performing routine accounting support, such as paying invoices, reconciling credit card statements, creating expense reports, entering requisitions, and purchase orders. Reporting to the Associate Publisher, successful candidates will be detail-oriented, highly organized, communicative, collaborative, and enthusiastic about book publishing.

 

Getty Publications produces award-winning books that result from or complement the work of the J. Paul Getty Museum, the Getty Conservation Institute, the Getty Research Institute, and the Getty Foundation. The approximately 35 books published each year cover the fields of art, photography, archaeology, architecture, conservation, and the humanities for both the general public and specialists. Ranging from exhibition and collection catalogues to scholarly monographs and edited collections, to trade and children’s books, most titles are published in print, but an increasing number are published digitally as well.

NOTE: Los Angeles residency required. This position is NOT fully remote and consists of a hybrid in-office and work-from-home schedule.

Major Job Responsibilities

  • Processing invoices for payment and acting as liaison with the Accounting department
  • Creating requisitions and purchase orders for copublications and coeditions, and acting as a liaison with the Procurement department
  • Reconciling credit card statements
  • Creating travel authorizations, booking travel, creating expense reports
  • Scheduling meetings and taking minutes
  • Updating Publications title database with information about images, foreign-language rights deals, and marketing elements, such as tables of contents, comparative titles, etc.
  • Creating/updating advance book information sheets and other pre-publication materials for book fairs, sales reps, etc.
  • Creating PowerPoint presentations for sales conferences
  • Updating, running, and distributing weekly and monthly sales reports
  • Maintaining Getty Publications presence on online book sales platforms, including creation of seasonal catalog, uploading spreads, tables of contents, comparative titles, and other assets
  • Organizing assets (descriptive copy and images) for library marketing partners
  • Managing digital assets on Amazon and elsewhere (uploading spreads and other content, uploading search-inside-the-book files, etc.)
  • Uploading and facilitating delivery of ebooks and metadata to ebook vendors via digital asset management system
  • Communicating changes in publication dates to Publications staff
  • Assisting with other tasks as needed

Qualifications

  • High school diploma/GED; Bachelor's degree preferred
  • Minimum 3-4 years related experience

Knowledge, Skills and Abilities

  • Proficient in Microsoft Office (especially Excel and Word); familiarity with Adobe Acrobat
  • Strong written and verbal communication skills, exceptional organizational skills, and flexibility in adapting to shifting deadlines and priorities
  • Familiarity with art history a plus
