J1 Door Company is a leading commercial door business specializing in high-quality installations and services. As we continue to grow, we are seeking a dynamic and organized Administrative Assistant to join our team and manage the dispatching of service calls.

Job Overview:
The Administrative Assistant will play a crucial role in coordinating service calls, communicating with field technicians and clients, and ensuring a seamless flow of information. This position involves handling phone lines, emails, and dispatching service requests promptly and efficiently. We are seeking individuals who are not only a great fit for the role but are also interested in a long-term commitment. Responsibilities:

  • Service Dispatch:
  • Receive and assess service requests from clients.
  • Dispatch field technicians to service calls based on location, expertise, and urgency.
  • Monitor and update the status of service calls in the system.
  • Communication:
  • Answer incoming phone calls and respond to emails promptly and professionally.
  • Liaise between clients and field technicians to provide updates on service call status.
  • Maintain clear and effective communication with all team members.
  • Documentation:
  • Maintain accurate and organized records of service calls, appointments, and customer information.
  • Generate reports as needed for management.
  • fill out customer or site specific documents or packages as required
  • Customer Service:
  • Provide exceptional customer service by addressing inquiries and resolving issues.
  • Ensure customer satisfaction by confirming appointments and following up on completed service calls.
  • Have A positive demeanor
  • Team Collaboration:
  • Collaborate closely with sales team, estimators, clients and field technicians to provide necessary information for success.

Qualifications:

  • Proven experience in administrative roles, preferably in service dispatch or constructions fields.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and multitasking abilities.
  • Proficient in using office software and dispatch systems.
  • Customer-focused with a positive and professional attitude.
  • Ability to work independently and collaboratively within a team.

Pay: $45,000.00 per year
