Title: Operations Administrator
Reports to: Director of Operations

Jack’s Abby Brewing is recruiting an Administrator for its growing Operations Team. Jack’s Abby was founded in 2011 by three brothers, Jack, Eric and Sam Hendler and is still family owned to this day. We are known for creating high-quality lagers that honor tradition and the spirit of innovation.
The Operations Administrator is responsible for supporting the Operations Department by assisting with inventory and freight management. This position will require collaboration with all other departments(Sales, Marketing, Production, etc.) to ensure that inventory levels are sufficient for both raw materials and finished goods. It will be the responsibility of the Operations Administrator to oversee both inbound and outbound shipments, along with any supporting documentation.
Expectations as a Production and Logistics Administrator at Jack’s Abby:
Core Responsibilities
- Own communication within, into and out of the department: It is the responsibility of the administrator to know what is going on in the department, and ensure that it has been communicated to the necessary and appropriate stakeholders.
- Work closely with the sales department to enter distributor orders into tracking software
- Notify if shortages are expected and work to find solutions to mitigate
- Schedule freight for outbound beer shipments to distributors and inbound for raw materials
- Negotiate better freight rates and find opportunities to maximize shipping routes
- Inventory Management: Including but not limited to entry of purchase orders, assisting with creation and entry of inventory counts and vendor communications
- Contract Partner Communications: Assist with the coordination of brewing and packaging schedules and regularly cadenced communications around inventory levels, upcoming order statuses, etc.
- Ensure all data related to core responsibilities is being properly entered into Production Management System (Ekos/Ohanafy)
Additional Administrative Support
- Prepare shipping documentation(Invoices, purchase orders, and bills of lading)
- Maintain the dock schedule so as to keep all necessary parties informed and prepared
- Responsible for supporting department head in day to day management and administrative duties. This includes, but is not limited to: department head scheduling, communication, planning, special project management, assistance in daily administrative duties or other tasks as assigned by the department head.
Job Requirements:
- Study and/or work experience in inventory management, operations, or related field.
- 2-3 years experience in administrative role, preferably in manufacturing, food and beverage, or related field.
- Experience working with external vendors and relationship management
- Experience with Google Suite, Microsoft office applications.
- Excellence in Excel/Google Sheets is a plus
- Experience with ERP Inventory/accounting systems is a plus.
- Outstanding internal and external communication skills; ability to communicate with multi-level management.
- Team work focused and positive attitude, ability to work under pressure and meet deadlines.
- Willingness to work in a fast-moving, dynamic, and team-oriented environment.
- Problem solver; ability to take initiatives
- Understanding of budget management
- Extremely Organized
- Multilingual (Spanish and/or Portuguese) is a plus
- Knowledge of the craft beer market/industry and appreciation of the culture that goes with it.
