Position Overview
The position functions in the clerical unit processing information, documents and materials and also conducts visitations.
Duties and Responsibilities
- Alphabetizes, sorts numerically, and organizes assigned files in an accurate and timely manner.
- Completes case setups within five days.
- Enters all appropriate information into the database in an accurate and timely manner.
- Schedules appointments and visitations accurately and timely upon request.
- Maintains desk calendar up-to-date and accurate with transportation and visitation schedules.
- Notifies Social Workers or appropriate personnel of any scheduling changes.
- Discusses appropriate visitation arrangement with social workers prior to visits.
- Addresses concerns with visitations and/or actions or comments of parents with social workers and supervisor.
- Provides adequate notice to the social worker of any visit cancellations so other arrangements can be made.
- Follows all procedures established by the social worker or agency for the family (i.e.: not discussing court, no note passing, not leaving children and parents alone at any time, etc.)
- Maintains accurate logs and notes and/or completes visitation monitoring tool on all supervised visits and provides these to the foster care social worker.
- Case Management (research in NCFAST, Family Net, State Sessions, completing blue sheets, setting up files)
- NCXPTR (What reports to print and when to print them).
- Completes Visitation Monitoring Tool after every visit.
- Checks spill kits in each agency vehicle and in each reception area for needed supplies in April and October of each year.
- Keys WF Forms.
- Ensures agency vehicle is cleaned at a carwash monthly.
- Processes agency scrap paper on a weekly basis.
- Adds clients to Daysheet Program.
Education and Experience
Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.
