Overview

The Executive Producer serves as the lead for meeting, event, and digital platform program work requiring a proposed or approved project scope, schedule, budget, and/or billable component. They provide consistent, effective management and communication focused on project deliverables, ensuring quality work on time and on-budget that meets client expectations. The Producer will work to identify and resolve challenges, build, and maintain budgets and timelines, and develop communications plans so that all team members are aligned. They are responsible for leading the production of all project components and executing project logistics on time and on budget.

The Executive Producer must assess project goals, run meetings in preparation of the program launches and events, manage the overall budget of the project including the costs and vendors associated, act as the liaison between the internal teams and external service providers. This is a fast-paced, dynamic, multiple-project based position and organizational and leadership skills will be the keys to success.

Responsibilities

  • Represents Jackson Dawson at client meetings and provide consultative input on business development activity
  • Develop and manage all aspects of project budgets including:
    • Creation
    • Tracking
    • Acquiring vendor bids and estimates
    • Processing incoming invoices and expense reports
    • Generating client invoices
    • Ensuring projects come in at, or under, budget
  • Project Management support including:
    • Statement of Work creation
    • Project schedule development, management, and tracking
    • Work collaboratively with multiple internal team members and clients to ensure project deliverables are met
    • Select and manage external vendor and facilitator resources
    • Manage internal and external resources, production crews, vendors and venues
    • Coordination/management of logistics and logistic suppliers
    • Key player in onsite implementation of successful program execution
    • Attend all client meetings (remotely)
  • Advises and steers development of large client projects
  • Collaborates with creative directors, account managers, producers, writers, designers, and developers to deliver the highest quality products
  • Develops relationships, procurement standards and best practices with key suppliers to ensure strategically designed programs that maximize return on investment and objectives
  • Prepares and delivers written and oral presentations about plans of records and all logistics to internal customers
  • Provides logistical organization and implementation; creates event planning estimates for project scope, schedule, and resource requirements ensuring programs are properly budgeted, estimated, and scheduled
  • Manages contractual process and secures cost value savings while reducing liabilities and risk exposures
  • Hires and supervises all vendors, event staff and engage event specialists/consultants
  • Develops, manages and executes master event logistical plan and timeline; assigns/delegates tasks to staff; evaluate, analyze and report results for each event
  • Fully immersed in brand details: product specs, current advertising campaigns, and legal adherence as they relate to the brand

Qualifications

  • Bachelor’s degree in a related field
  • 8 years’ experience as a Producer or Project Manager
  • Ability to work in a fast-paced environment under tight deadlines
  • Demonstrated ability to manage event schedules and budgets
  • History of flawless delivery of projects on time and on budget that results in repeat business with clients
  • Ability to travel and work flexible hours
