Executive/Sales Administrative Assistant
Jaco Aerospace is a fast-growing, tech-driven, privately held Aerospace company that operates globally within the Aerospace Industry. Our customer base includes major airlines, Space, Defense, OEMs (Original Equipment Manufacturers), and all branches of the Department of Defense. We are seeking an experienced, intelligent, reliable, and hardworking individual to join our team as an Executive/Sales Administrative Assistant.
As an Executive/Sales Administrative Assistant, you will support our Vice President and execute various responsibilities to enhance our sales process and drive growth. This multi-faceted position requires exceptional multitasking abilities and the willingness to take on diverse tasks. Our ideal candidate is a quick learner who can work independently, possesses natural curiosity and has a "whatever it takes" attitude.
In this role, you will handle a wide range of high-level professional functions, interfacing with all departments and managing high-priority confidential projects. You will be an important piece of making sure that orders move quickly and keep customers happy.

Responsibilities:
- Manage the real-time flow of RFQs (Request for Quotes) and ensure adherence to order entry processes and procedures.
- Enter high-priority RFQs into our proprietary software.
- Monitor the Sales Department email inbox, flag important emails, route customer emails to the appropriate individuals/departments, and respond to customer inquiries.
- Utilize government purchasing platforms such as WAWF, Ariba, PIEE, Exostar, GSA Advantage, etc.
- Screen and delegate incoming calls.
- Issue meeting invites and reminders for daily schedules and important meetings.
- Perform potentially confidential and administrative duties involving Excel and Word, including typing letters and creating/updating spreadsheets.
- Demonstrate strong attention to detail, adaptability to daily schedules and routines, and a focus on efficiency without compromising quality.
- Assist with problem-solving.
- You will be responsible for maintaining uniformity of part numbers in our system. This involves extensive Excel work, and you can expect to dedicate 1-2 hours daily to this task. Your attention to detail and ability to adapt to changes will be crucial in ensuring the accuracy and consistency of our part numbers.
