The Operations Assistant will support the operations team by performing a variety of administrative and operational tasks. This role is crucial for ensuring efficient processes and effective communication within the organization.
Key Responsibilities
- Run reports for doctors, call center departments, etc.
- Build schedule blocks for doctors and update work hours configurations.
- Setup new hire profiles for ECW, 8x8, Downloads, and Navigation applications.
- Conduct inventory, to include IT supplies and equipment.
- Communicate computer issues to IT.
- Setup after hours answering services and delegate messages appropriately.
- Review call center metrics to ensure compliance with policies.
- Reschedule patients missed appointments.
- Provide call recordings as directed
- Travel to other locations to address business needs, when necessary.
- Prepare and distribute meeting agendas and minutes.
- Data entry and data tracking.
- Support departmental project management efforts as directed by management.
- Maintain confidentiality of sensitive information.
- Maintain professionalism with co-workers, patients, family members, and other internal or external customers
- Education: A high school diploma or GED is required. An associate degree in business administration, communications, or a related field is preferred.
- A minimum of two years of customer service experience is preferred.
- Ability to comprehend established office routines and policies.
- Strong problem-solving and decision-making abilities.
- Strong oral and written communication skills.
- Good interpersonal and organizational skills.
- Highly detail-oriented.
- Ability to work under pressure and manage multiple tasks simultaneously.

- Weekly update on task computation and outstanding tasks.
- Open communication with managers and administration regarding workflow, challenges, etc.

General Physical Requirements/Demands
- Sitting: Prolonged periods of sitting at a desk and working on a computer.
- Standing and Walking: Occasional standing and walking within the office premises.
- Lifting and Carrying: Occasionally lifting and carrying light objects up to 15 pounds.
- Manual Dexterity / Data Entry / Repetitive motion: Frequent use of hands and fingers to operate a computer keyboard, mouse, and other office equipment. Requires fine motor skills for typing, writing, and handling small objects.
- Reaching and Bending: Occasional reaching above shoulder height or bending to access files, documents, and office supplies from shelves or drawers.
- Vision: Adequate vision to read and interpret documents, computer screens, and office equipment displays. This includes close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
- Hearing: Sufficient hearing ability to communicate effectively in person and via telephone or video calls, including the ability to understand and respond to verbal instructions and conversations in a typical office environment.
- Verbal Communication: Clear and articulate speech to communicate. This includes participating in meetings, providing instructions, and conveying information effectively.
- Written Communication: Proficient writing skills to create and respond to emails, prepare reports, and complete various forms of documentation.
- Concentration and Attention to Detail: Ability to concentrate on tasks for extended periods, maintain attention to detail, and perform accurate and error-free work.
