Hybrid position supporting the entire state, working in the office three days a week in Brentwood, TN Administrative Support Serve as Chapter Liaison with Financial Specialist to ensure reconciliation completed quarterly, working closely with Executive Director and Market Director; oversee tracking and timely payments for Signature Event sales Serve as Subject Matter Expert and adhere to organizational policies and procedures (SOPs) and Chapter Processes, correct/train team as needed Oversee Chapter Volunteer Leads process, including screening, referral and CRM management Provide excellent customer service for constituents who call the main Chapter phone line or email the main Chapter email; forward inquiries and engage team Assist Leadership Team with meeting preparations and correspondence Manage the Chapter calendar and Staff Meetings Maintain office supply inventory Ensure technology is working and serve as liaison with Tech Team, copier, and mail machine Database Management Strong command and full adoption of SalesForce CRM, Luminate Online and Greater Giving event systems, as well as Excel Execute regular data hygiene in CRM, working closely with Market Director Maintain accurate, timely information according to national guidelines Execute confirmation and tracking process between event management systems and CRM, updating team and providing reports while problem solving for data issues Perform all relevant data entry accurately and on-time Ensure the confidentiality and security of all proprietary information Event Fundraising Support Partner with Resources Team to ensure proper updates of software and websites to support Signature Events Manage Walk registration, working closely with Walk Lead Maintain Gala guestlists, working closely with Gala Leads and overseeing Nashville Gala registration Assist with Auction administrative tracking and acknowledgement Ensure sponsorship exposure agreements executed correctly Oversee mailing projects, serving as chapter liaison for printer, preparing mailing lists with team input Manage logistics as assigned, i.e. 3rd Party events, Food City kitting Assist Middle TN staff to prepare for events, outreach, and deliverables Qualifications Bachelor’s Degree required or equivalent experience Experience in event planning Efficient time management, working in a fast-paced environment Team player with ability to interface with corporate executives, as well as all levels of staff and volunteers Proficient in Microsoft Office (Outlook, Word, Excel & PowerPoint); Experience with Salesforce or event management programs a plus Excellent organization and communication skills Occasional evening and weekend work required as needed A solid understanding of JDRF’s mission Essential Functions: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
