POSITION SUMMARY
The finance and Payroll Associate manages vital financial operations, including vendor relations, weekly payments via Certify expense software, and corporate credit card reconciliations, with all transactions updated monthly in the general ledger. The role also involves tax documentation for accounts payable, administration of the corporate credit card program, and bi-weekly payroll processing using the ADP system.
In addition to these duties, the associate collaborates with the Planning and Impact department on financial allocations, maintains financials for a nonprofit subsidiary, and serves as the liaison for educational scholarship programs. They also contribute to the annual financial audit, end-of-year fiscal procedures, and provide backup for accounts receivable. The associate handles inquiries on the finance department's call line, ensuring robust customer service to donors and vendors, highlighting their essential role in financial management and organizational support.
ESSENTIAL JOB FUNCTIONS
- Maintain vendor accounts, contracts and relationships for the business operations of the Jewish Federation of Greater Pittsburgh.
- Manage a weekly payment process in the Certify expense management software system which pays vendors, reimburse employee expenses and reconciles corporate credit card activity. Import information processed within Certify to the general ledger monthly.
- Maintain tax records and filings related to the accounts payable function including but not limited to W-9 forms, 1099 filings and appropriate forms for any overseas vendors.
- Administer the corporate credit card program.
- Oversee the bi-weekly payroll processing in ADP payroll system. Enter any necessary changes between payroll periods and maintain documentation to support any changes for the Associate Vice President of Finance to review and approve.
- Work closely with the Planning and Impact department to prepare an annual allocation journal entry to the general ledger to account for the grants from the Annual Campaign and review the allocation payments throughout the fiscal year to ensure all grants are being properly disbursed.
- Perform the bookkeeping for 412x972 Pittsburgh Israel Innovation Inc., a non-profit subsidiary of the Jewish Federation of Greater Pittsburgh.
- Primary accounting liaison for the two-tax credit educational scholarship programs managed by the Jewish Federation of Greater Pittsburgh.
- Participate in the annual financial statement audit and perform fiscal year end close procedures relating to the Accounts Payable and Payroll functions, ensuring all expenses are properly accrued at fiscal year end.
- Act as a backup, when needed, for incoming cash receipt processing when the Accounts Receivable Finance Associate is on vacation.
- Perform analysis and research of general ledger accounts as required.
- Be available to answer any phone calls that come through the Finance department call line and provide customer service to donors and vendors.
PREFERRED QUALIFICATIONS
- Bachelor’s degree in Accounting.
- At least 3 years prior experience in Accounts Payable and Payroll Functions.
- Experience with ADP, Community Brands MIP Non-Profit Fund Accounting and Certify software systems a plus.
- Highly proficient in Microsoft Excel.
- Proficient in all Microsoft Office 365 suite of tools (Teams, Outlook, Word, etc.).

Pay: $52,600.00 - $68,400.00 per year
