Job Description
The Manager, Events supports the JLL Events Hub and overall business strategy aligned to meetings & events. The candidate will possess the ability to complete a high volume of tasks with minimal guidance or supervision. React with appropriate level of urgency to projects or tasks that require quick response or turnaround. Key to the position is the ability to be organized, prioritized, and meet deadlines.
Reporting directly to Sr. Manager, Events
Key Responsibilities:Event management:
Ability to independently manage simple to complex event logistics, budget management and communications of internal and external (client-facing) meetings and events, including tradeshows.
Ability to oversee all arrangements for company participation in tradeshows and conferences both externally and internally. This includes coordination with exhibition management vendors to ensure booth design, schedule and logistics are executed onsite.
Ability to prioritize and self-manage multiple events in planning concurrently
Coordinate team activities (staff meetings, all-hands meetings, and social events)
RFPs and vendor management
National event calendar(s) management
T&E Reporting
Post-event analysis and return on investment analysis
Assist Strategic Event Management Program (SEMP) administrator with:
Cvent data dashboard & input requirements
Other event related technology tools (Workfront, SmartSheets)
Event survey tool
Provide administrative support to the Events Hub Lead:
Invitation list management (RSVP tracking)
Assist with invitation list creation for larger industry conferences receptions
Event collateral draft, editing & print management (name badges, etc.)
Venue & vendor invoice management and payment processing
Event shipment management
Event supply inventory management
Assist with registration for JLL events in conjunction with industry conferences
Assist with expenses as needed
National event mailbox management
Sponsorship sales support
Assist with meeting preparations such as organizing/printing handouts, presentations, etc.
Perform additional job duties, as requested.
Project Code tracking per event
Help execute events as part of a team
Qualifications
3-5 years of administrative support experience in a corporate environment
5 years in executing the full lifecycle of corporate meeting & event planning
2-3 years of tradeshow management
Professional demeanor and appearance, treating others with respect and consideration
Ability to work independently and take direction
Strong prioritization and time management skills
Desire to learn new technology platforms (Cvent, SmartSheets, Workfront)
Proficient skills in SharePoint, Microsoft Office Suite (Excel, Word, PowerPoint, Visio, and Outlook), and other event tools (Social Tables, Cvent)
Critical Skills
Detail oriented
Excellent organizational skills
Ability to work as a team player, but also independently
Must have excellent verbal and written communications skills
Ability to deliver superior results in a fast-paced environment
Highly collaborative with strong interpersonal skills and track record of excellent internal and external customer service.
Track record of initiative, integrity, and good judgement
Education
BA or BS degree or equivalent experience
CMP designation preferred
Physical Requirements:
Must be able to lift boxes and items around 25 pounds
Ability to be on your feet for an extended period, when onsite for events
Travel
Intermediate travel, up to 25%
Travel to offsite locations, hotels, etc. – may include nights, weekends, etc., could conflict with holidays
