What are the responsibilities and job description for the Facilities Clerk position at JLL?
The Clerk will provide support to the Facility Manager for all mail center activities, equipment and supplies. They will also provide assistance with maintenance and operations, occupancy services and help desk as needed. This role requires an enthusiastic, proactive individual, an outstanding communicator with the ability to deliver incredible customer service, organization, collaboration, ability to work independently and be a self-starter.
ESSENTIAL DUTIES and RESPONSIBILITIES include the following. Other duties may be assigned.
Mail Service
Sort, collate and deliver mail. Receive outgoing mail and apply correct postage using the postage meter. Record of registered mail. Resolve issues with incorrect, returned mail. Daily accurate recordkeeping.
Track all incoming/outgoing courier mail. Communicate with courier services for daily pick up of outgoing package.
Perform hospitality services and minor housekeeping items.
Stock copy rooms and printing devices.
Provide support for small office moves.
Scheduling equipment maintenance.
Any and all other duties and tasks assigned.
Communicate proactively, accurately and impeccably both verbally and in writing
Collaborate with other vendors, acting in autonomy with peripheral services to include facilities, janitorial, movers and equipment providers
Facilities
Manage and maintain small facility management tasks as assigned.
Assist with the coordination and scheduling of maintenance activities.
Provide general overall facilities management services including continuous monitoring of office/facility.
Act as an interface with client, visitors and guests.
Ensure appropriate follow up with client.
Any and all other duties and tasks assigned.
Client Relationships
Foster an environment of constant, quality communication between the team and the client
Comply with all requirements of the client contract and meet or exceed Key Performance Indicators
Deliver an exceptional quality of service to the client, as reflected by client feedback

Finance Management / Cost Control / Profitability
Assist the Facility Manager to achieve or exceed financial targets and ensure effective, efficient and economic operation of assigned responsibilities.
Qualifications:
A high school diploma or GED
1-2 years of previous mailroom and/or facilities experience
Strong analytical and organizational skills
Excellent communication skills in English, both written and oral.
Excellent computer skills, specifically word processing, excel, database entry and knowledge of equipment (printers, postage machines, etc.),
Excellent problem solving skills.
Ability to work independently with little supervision and effectively deal with stressful situations. Ability to plan and manage work under time constraints.
Ability to learn quickly.
Ability to sort mail in a way to help ease, speed, accuracy of delivery
Ability to lift 50 pounds regularly
Ability to spend much of the day on his/her feet.
Must be able to work quickly with hands and have good hand/eye coordination
Self-motivated; confident, energetic, and flexible
