Workorder Administrator

The Workorder Administrator is responsible for providing triage and expediting of all maintenance work order activities. This position will liaise with the maintenance teams and customers to ensure required resources are identified and scheduled prior to execution of maintenance resources. This position will need to work closely with other functions in the business to support business goals. In addition, this individual will have responsibility to ensure applicable business information/work order data is stored and maintained to support business decisions when needed. The Workorder Administrator is responsible for the CMMS activities which include work order management, asset management & reporting.

Responsibilities

  • CMMS asset management including loading of new asset data and remediation of key data fields, identification of systems, assemblies, and assets.
  • Creates and updates PM, PdM and statutory maintenance schedules
  • CMMS work management – review and update of schedules and procedures
  • CMMS and Ad-hoc reporting for analysis required to manage the business
  • Reviews and prioritizes requests for work.
  • Determines activities required for completion of a work order (WO).
  • Confers/communicates with work order requesters.
  • Coordinates and conducts scheduling w/ maintenance teams and customers for scheduling planned maintenance activities.
  • Determines dates and duration to complete WOs.
  • Works w/ Maintenance managers and assigns individuals or groups of individuals as required to complete the work.
  • Coordinates with client representatives to understand their needs and to ensure the work schedule takes account of the downtime windows negotiated with clients, where necessary.

Qualifications

  • Computer skills with work knowledge of Computerized Maintenance Management Systems (CMMS). Blue Mountain or similar is preferred.
  • Experience as a journeyman engineer level with strong skills in building automation systems, life safety systems and Microsoft Office preferred.
  • 1-3 years’ experience in maintenance/operations of facilities.
  • Minimum 5 years’ experience implementing maintenance repair activities in a process and building services environment in the pharmaceutical industry.
  • Understanding of maintenance planning and scheduling activities.
  • Technical/Vocational high school diploma/equivalent preferred, but not required. Associate Degree in a relevant engineering discipline is a plus.
  • Excellent interpersonal communications skills are required.
