What are the responsibilities and job description for the Tenant Service Representative position at JLL?
JLL is currently seeking a dynamic, professional, customer focused individual for the role of Tenant Service Coordinator. This candidate with be responsible for providing concierge level services to Tenants, planning building events, coordinating conference facilities, and providing administrative support to the onsite property management team.
What You'll Be Doing:
Responsible for providing superior customer service to tenants.
Coordinate meeting and event space for Tenant use at the property.
Work with Property Manager to create, budget, and execute building events with a high level of creativity while working within budget parameters.
Update the custom Building App weekly to include events happening on the property, in the downtown area and update social media accounts regularly.
Prepare announcements and building-wide digital correspondence to ensure all communication is of the highest quality.
Responsible for the front desk office including greeting Tenants, Visitors, Clients, and service providers. Ensure the office main phone line is answered timely. Exhibit a professional, mature, courteous, gracious, and efficient manner.
Liaison between tenants and building engineers, security, housekeeping, and vendors by communicating proper information and ensuring tenant requests are responded to in a timely and professional manner.
Monitor Tenant work-orders and follow-up with tenants to ensure service requests are completed to their satisfaction.
Ensure all tenant access cards are activated and deactivated as requested.
Coordinate all arrangements and notifications, acquire proper authorizations, and collect certificates of insurance as necessary for all tenant move-ins/move-outs. Ensure all items on the tenant move-in checklist are completed for each new tenant and filed in the tenant's lease file.
What We're Looking For:
High school diploma required.
BA/BS preferred.
Prefer 2 years in commercial real estate or high-end customer service experience.
Proficient knowledge of Microsoft Office Suite. Comfortable learning new programs and technology.
Experience updating social media accounts and creating content preferred (this can be personal accounts if updated regularly)
Advanced oral and written communication skills.
High level of time management skills
Strong attention to detail and organizational skills
Self-starter, able to manage multiple projects simultaneously and under pressure.
Can work autonomously or as a member of the team.
