Position Summary
The Executive Assistant is responsible for providing comprehensive support to the Executive Vice President & Chief Financial Officer of the J.M. Huber Corporation. This role will also interact with the Huber Management Council (HMC) and J.M. Huber Board of Directors as necessary.
The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. He / She will have previous experience working in an executive office environment, performing administrative duties, and providing support to c-suite executives.
Principal Duties & Responsibilities
- Manages all travel arrangements and logistics, staying well ahead of travel dates to manage business costs effectively and efficiently
- Coordinates complex scheduling and extensive calendar management, and flow of information to senior executives
- “Gatekeeper” to the CFO’s schedule using sound judgement and influence
- Manages all travel arrangements and logistics
- Rapidly submits expense reports for processing and reimbursement of all CFO expenses
- Oversees CFO financial expenditures and budget
- Schedules and Coordinates meetings, etc. Offer ideas, recommendations and insights
- Keeps the CFO well informed of upcoming commitments, meetings, and responsibilities
- Provides proactive management and coordination with HMC and their EAs to ensure required documents and presentations are submitted timely and ready
- Uses sound judgement to respond as appropriate or delegate to key executives as needed. Maintaining utmost confidentiality is critical
- Develops draft PowerPoint slides and documents, as required
- Supports the CFO with initial drafts of communications developed by the Corporate Communications team with first review
- Creates a regular rhythm with CFO to review calendar, travel, meeting objectives & goals, due dates, and reviews/maintains priority of items
- Develops strong relationship with HMC members, board of directors and Huber family shareholders to better anticipate CFO’s work ahead
- Special projects as needed
Education, Specialized Knowledge & Required Skills
- High school diploma required. Associate's or Bachelor's degree preferred
- 8 years’ experience providing support to C-Suite level management in a large, global organization
- Exceptional communication skills with the ability to speak and write in a succinct and positive manner creating a good image of the company and the executives that are represented
- Superb professionalism - represent the CFO’s office with respect and credibility; ability to interact with board, family members and external stakeholders with “subtle” influence
- Willingness to Learn - familiar with the company mission, vision and values and stays abreast of current events and industry trends to help prioritize the BOM (business operating model)
- Savvy with technology - competent to leverage technologies to support efficiencies of work. Proficiency with Microsoft Office Suite including PowerPoint, ability to design and edit presentations and materials. Strong, complex Outlook calendar management skills
- Excellent judgment, able to manage confidential information, courage to prioritize and protect CFO’s time with other key executives/board
- Superior organizational skills - ability to think critically, plan, and multi-task in a fast-paced environment
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
- Agile - capable of adapting to changing needs of the CFO and other stakeholder’s requests
- Confidence with the ability to bring forward well-though out ideas - recognizing powerful impacts of different perspectives and views within the organization
- Able to maintain a high level of integrity and discretion in handling confidential information
- Ability to execute work with a diversity, equity and inclusion lens
