We are seeking a reliable, organized, and detail-oriented individual to join our team as a Permanent Administrative Assistant in the Flooring industry. This role is integral to the smooth operation of our organization and requires an individual who is comfortable working in a fast-paced, dynamic environment. The ideal candidate will have a minimum of 2 years of experience in a similar role, with a strong focus on administrative tasks, meeting coordination, and appointment scheduling.
Responsibilities
As an Administrative Assistant, you will be responsible for a wide range of tasks that ensure the efficient and seamless operation of our organization. Your duties will include
- Coordinating and scheduling meetings, including organizing agendas, sending out meeting invitations, and taking minutes.
- Managing appointment schedules for senior staff, ensuring that all appointments are accurately recorded and reminders are set.
- Handling administrative tasks such as filing, typing, copying, binding, scanning, etc.
- Assisting in the preparation of regularly scheduled reports.
- Developing and maintaining a filing system for easy document retrieval.
- Liaising with internal departments and communicating with the public directly or through customer representatives.
- Providing general support to visitors and ensuring the reception area is well maintained.
- Implementing and monitoring procedures for record keeping and ensuring the security of confidential data.
- Keeping stock of office supplies and placing orders when necessary.
The successful applicant will have the following qualifications
- Minimum of 2 years of experience as an Administrative Assistant or in a similar role.
- High school diploma; additional qualifications as an Administrative assistant or Secretary will be a plus.
- Proven experience in scheduling meetings and managing appointments.
- Excellent organizational and time management skills, with the ability to prioritize tasks and work under pressure.
- Strong attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficient in MS Office (MS Excel and MS PowerPoint, in particular).
- Knowledge of office management systems and procedures.
- Ability to maintain a high level of accuracy in preparing and entering information.
- Demonstrated ability to work independently and as part of a team.
