Job Details

We are seeking a full-time Bid Administrator in our Estimating department. The Bid Administrator plays a crucial role in ensuring that numerous bids are completed accurately and promptly each week.

Key Responsibilities :

  • Prepare materials for the estimating team to bid on projects.
  • Create project folders.
  • Download and organize documents.
  • Schedule and calendar pre-bid meetings with project owners.
  • Print plans and specifications.
  • Order bid bonds and verify required insurance.
  • Prepare and organize bid packages on bid day.
  • Coordinate delivery of paper bids.
  • Conduct Good Faith Solicitations and maintain relevant documentation.
  • Publish internal bid results and issue job numbers for successful bids.
  • Scan and organize documents into job folders.
  • Complete unit price comparisons.
  • Manage yearly prequalification packages with prime contractors and public agencies.
  • Oversee maintenance and deliveries for office equipment.
  • Collaborate with managers and estimators on special projects.

Qualifications :

  • Construction industry knowledge and finance-related experience preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word) and Adobe Acrobat.
  • Experience with Smartsheet is a plus, but not required.
  • Extremely detail-oriented, organized, and capable of managing multiple tasks simultaneously.
  • Ability to prioritize and meet crucial deadlines.
  • Dependable with a strong sense of urgency.
  • Comfortable working in a fast-paced environment and as part of a dedicated team.
