We are seeking an experienced, hard-working and personable Group Administrator with advanced administrative skills to help meet the needs of an engineering group passionate about the development of military mission planning tools for war-fighters in the field.

 

As a Group Administrator for the A3K Group,

  • Your primary responsibility will be to efficiently and effectively carry out the administrative duties, content management duties, security representative duties, and Property Associate duties in support of the A3K Group (currently 32 staff) by working onsite at the APL Main Campus.
  • Provide daily administrative support to the A3K Group Supervisor and A3K Assistant Group Supervisor.
  • Provide on-demand administrative support to the entire A3K group.
  • You will provide administrative support to a classified computing closed area (known as the Advanced Combat Systems Laboratory).
  • Support unclassified and classified document preparation/markings/distribution/filing; unclassified and classified document uploads to the APL pertinent databases and file stores; update/maintenance of group electronic business calendars; mail distribution; office supply management; time card proxy entries; office moves; and business travel reservations and expense statement processing.
  • You will research the APL online Policy Library and then interpret and apply APL practices and procedures in an appropriate manner and provide guidance when requested.
  • Fulfill the role of Group Security Representative by becoming familiar with security policies and protocols, and then advising the group members on security matters.
  • You will fulfill the overall objective of this position which is to consistently carry out stated duties in a multi-tasking environment in a manner which promotes a productive and pleasant team environment while responding to a variety of tasks and group members. This requires you to team/collaborate with other sector/branch/group administrative staff to carry out all these duties in a coordinated fashion.

Qualifications

You meet our minimum qualifications for the job if you...

  • Possess a High School diploma or equivalent and have successfully completed some college courses related to office administration, security, or equivalent.
  • Have at least 7 years of administrative work experience with success in carrying out that work.
  • Have good verbal communication skills.
  • Have excellent written communication and proofreading skills.
  • Have the personal commitment to and the demonstrated ability to work with others.
  • Have good communication skills and ability to interact with all APL staff levels and representatives of external organizations effectively and with a professional demeanor.
  • Are strongly motivated to effectively meet staff business needs.
  • Have shown success in maintaining a pleasant and welcoming office environment.
  • Have proven professional discretion in handling sensitive information.
  • Have demonstrated the ability to work in a multi-tasking environment by prioritizing a continuous work flow with frequent interruptions.
  • Have strong personal computer skills and proficiency with Microsoft Word, Microsoft Excel, Microsoft Outlook, and Microsoft PowerPoint.
  • Are self-motivated to take initiative in identifying and fulfilling tasks needs as the arise.
  • Have the ability to work overtime in response to business demands on infrequent occasions.
  • Are able to obtain an Interim Secret level security clearance by your APL Start Date and can ultimately obtain a Secret level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

 

You'll go above and beyond our minimum requirements if you...

  • Have an Associates Degree or a Bachelors Degree in a discipline that would benefit the administrative support of an engineering group.
  • Have 15 or more years of administrative work experience with success in carrying out that work.
  • Have excellent verbal communication skills.
  • Have experience utilizing Microsoft Visio and Atlassian Confluence software.
  • Have experience with database management tools and the Box software from Box, Inc.
  • Have experience as an APL Security Representative and solid understanding of the rules and regulations associated with security.
  • Have working knowledge of the APL Property Enterprise Management System (PEMS).
  • Have working knowledge of the APL Enterprise Business Support System (EBSS).
