Position Overview:


The purpose of the Executive Assistant's role will be to provide excellent management and confidential administrative support to the General Counsel and Chief Human Resources Officer (herein referred to as Executives), and to actively support and collaborate with the entire Legal and HR&C organizations.


Applicants can expect to make between $60,000 to $82,000 upon hire. Pay within this range will vary based upon relevant experience, skills, and education, among other factors. In addition, this position is eligible for a target incentive bonus under our variable incentive plan.


Your Day to Day:

  • Obtain, organize and review information necessary to complete the Executives' periodic reports to the CEO
  • Maintain highly confidential information
  • Actively support and assist the Corporate Secretary function
  • Monitor and track goals across leadership team; schedule regular meetings between individual leaders and the Executives to assess progress and identify goals at risk
  • Organize and complete quarterly legal disclosure letters
  • Prepare, maintain, and publish content on legal and HR team sites
  • Prepare documents including contracts, executive presentations, organization charts, letters and memos
  • Maintain various reports including weekly reports, monthly goals reports, quarterly memos
  • Assist in maintaining the Legal contract repository
  • Coordinate Legal and HR communications meetings; prepare agenda and presentations as needed
  • Arrange travel, both international and domestic, including related meeting arrangements and appointment confirmations, prepare and distribute appropriate materials, and handle any visa or passport matters
  • Prepare and submit expense reports; reconcile corporate credit card accounts.
  • Notarize documents and obtain apostilles or certificates as needed
  • Provide back-up administrative support during absences and support on special projects and/or with heavy workloads
  • Manage calendars, schedule appointments, conference calls and meetings
  • Coordinate team events

What You Bring to the Team:

  • Bachelor's degree or equivalent experience with a minimum of 3 years of executive administration experience
  • Proven ability to work with highly confidential information; professional discretion is imperative
  • Knowledge of, and experience with, various online systems (e.g., expense reporting and online travel reservations)
  • Proficiency in Microsoft environment (e.g., Outlook, SharePoint, Teams, Office 365)
  • Excellent interpersonal, verbal and written communication skills
  • Strong proof reading and editing skills
  • Proven ability to assess criticality of an issue and direct accordingly
  • Strong prioritization and organizational skills
  • Ability to work independently and in a team environment
  • Ability to interface with individuals at all levels of the organization and with external partners
  • May be required to lift, carry, push or pull up to 25 pounds
  • Minimal travel required (0 - 10 days per year)
