Job Summary The Administrative Clerk III, General and Payroll performs district-based duties associated with payroll processing and provides support throughout the Business Office. Employees in this position must function at an experienced administrative level with superior technology skills. The Administrative Clerk III is responsible for assisting in computing the payroll for the district including all statutory and elective deductions and is required to manage the complete processing of payroll when needed. Supervisory Responsibilities None Essential Functions •Updates and maintains employee database integrity. •Participates in the processing of biweekly payroll to include: oProcesses payments for all “other wages” and reimbursements. oPrepares, inputs, processes and reconciles all activity in order to generate payroll checks. Processes union dues, pensions, garnishments, and political action committee (PAC) deductions as applicable. oTracks other special payments (i.e. overtime, meetings, PDI payments, travel, tutoring, etc.) oPerforms all checking and recordings of cover sheets for payroll. oEnters all time for daily and hourly employees. •Verifies and uploads HSA2 and 403b biweekly remittance totals. •Maintains files for payroll records and employee time cards. •Prepares reports as needed or directed. •Prepares and completes journal entries for check reversals, liability payments and HSA2 frontloads. •Prepares data for yearly audits. •Prepares and processes employee wage statements upon request for pensions, social security, and insurance inquiries. •Processes unemployment and TDI forms for the Department of Labor. •Prepares and tracks monthly overage submissions by school and teacher and completes and processes year end overage payout. •Responds to internal and external inquiries regarding payroll issues, updates and changes. •Enter all free and reduced lunch applications into the Nutrikids system and sends letters of acceptance or denial to parents /guardians. •Runs monthly negative balance reports and sends out invoices. •Handles all internal and external correspondence relating to meal benefit applications. •Serves as backup for receptionist in Central Office. Required Knowledge/Skills/Abilities •Knowledge of administrative and office procedures and systems such as word processing and managing files and records. •Knowledge of and proficiency in Microsoft Office Suite and the ability to learn new software applications. •Ability to read, analyze, and interpret general accounting applications, procedures or governmental regulations. •Accurate typing skills. •Strong mathematical and analytical skills. •Effective listening, oral and written communication and interpersonal skills. •Ability to exhibit a high level of confidentiality and integrity. Education and Experience •High school diploma or GED required. •Associates degree or certification in secretarial sciences or payroll processing from a recognized post-secondary institution, preferred but not required, or an equivalent combination of education, training and experience. •Minimum of 2 years related work experience. Physical Requirements •Prolonged periods sitting at a desk and working on a computer. •Must be able to lift up to 20 pounds at times. •Must be able to access various departments of a given location. •Tasks are regularly performed without exposure to adverse environmental conditions.
