J. R. Caskey, Inc. is one of the industry’s leading site development firms currently providing a vast menu of construction services in Virginia and North Carolina. This includes Soil Stabilization and Full-depth Reclamation in addition to a full-range of Grading and Excavation services.
We are looking for an Accounting Assistant to join our Team in-office. The ideal candidate enjoys working in a team environment, can assist multiple positions, prioritize tasks and duties, has construction experience and has strong organizational skills. This position will be assisting Accounting and Project Management The candidate must have a general knowledge of AR, AP and payroll, basic and accurate math skills and a good understanding of Excel and Word . Knowledge of additional programs such as Blue Beam, Act, HeavyJob, HeavyBid, Microsoft Project and Primavera are a plus.
Responsibilities:
Administration Support
- Data input of invoices
- Accounts Payable
- Account Receivables
- Sub-contractor files
- Vendor files
Project Support
- Assist with Submittals
- Download pictures and documents coming in from heavy job and organize.
- Prepare Reports as needed
- Process and track change-order
- Answer inbound calls as needed
- Develop and implement organized filing systems
- Assist with routine data entry, copy requests, filing, etc.
- Assist with subcontracts and purchase orders
- Tool box Talks
- Daily Report forms and filing
Office Support
- Greeting clients and visitors with a positive, helpful attitude.
- Answering incoming calls, transferring calls, taking messages.
- Assisting with office tasks such as sorting, scanning, copying, emailing, taking notes, filing and organization of documents.
- Assist in accounting tasks and record keeping
- Execute clerical and general office duties such as setting up filing systems, data entry, scanning, copying, and other administrative tasks for special projects as requested
Qualifications
- High School Diploma. College Degree a plus.
- Previous experience in office administration and related fields in the construction industry.
- Must be proficient with Microsoft Office 365 – Strength in Excel a must.
- 1-3 years general administrative office experience, preferably in the civil construction industry.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Excellent organizational skills and ability to establish priorities, objectives, and deadlines with minimal supervision.
- Excellent written and verbal communication skills
- Strong attention to detail
- Strong organizational skills
- Coordinate a high volume of diverse assignments, effectively handle competing priorities, and maintain attention to detail.
- Demonstrated ability to maintain confidentiality and use good judgment in making independent decisions with a high degree of tact and diplomacy.
- Willingness to learn new programs.
