POSITION SUMMARY:
The Institute Assistant provides administrative support to the organization with a primary role of contributing to the operational success and strategic direction of JAG Institute. The assistant will help disseminating products and resources to increase awareness about childhood bereavement and promote sustainable, effective grief care for bereaved children and families. The ideal individual will be detail-oriented, exercise good judgment, maintain a realistic balance among multiple projects and priorities, be self-reliant and accountable, and be committed to continually working towards the vision of Judi's House/JAG Institute, that no child should be alone in grief.
REQUIRED EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES SOUGHT:
- Administrative support experience in a non-profit setting preferred.
- Adept with technology include proficiency in Microsoft Office Suite, Google Docs, Adobe Acrobat, Zoom.
- Exceptional interpersonal skills and the ability to interact effectively with staff, volunteers, board or committee members, constituents, and donors in-person, on the telephone or via electronic communication.
- Excellent verbal and written communication skills.
- Superior organizational and time management skills and acute attention to detail.
- Flexibility to work beyond normal business hours when needed.
- Work well with, and support, a professional team.
- Resourceful problem solver who anticipates the needs of others.
- Interest in understanding childhood bereavement as a public health issue and aligns work with organization's strategic goals.
- Valid drivers license and proof of insurance.
EDUCATION OR FORMAL TRAINING:
Bachelor's degree with two years relevant experience or equivalent.
ESSENTIAL DUTIES/RESPONSIBILITIES:
Internal Efforts
- Support leadership in recruiting, selecting, and onboarding new trainees.
- Coordinate internal training opportunities such as internships by maintaining training materials, scheduling workshops, tracking attendance, and collecting evaluations.
- Input, store, manage and report on quantitative and qualitative output and outcome metrics.
- Assist with identifying key community partners for program expansion to new audiences and partners.
- Work collaboratively with research team to ensure program evaluation for internal training programs.
External Efforts
- Manage and coordinate requests and communications related to external presentations, outreach, and consultations.
- Provide administrative support to JAG Institute services/programs such as Childhood Bereavement Changemaker initiative, Pathfinders Provider Program, Childhood Bereavement Estimation Model, caregiver/youth workshops, etc.
- Foster implementation of effective technology tools.
- Support curriculum development and dissemination.
- Monitor, track, and report on external media mentions related to Judi's House and JAG Institute.
- Identify local and national training and promotional events to showcase the work of JAG Institute.
- Coordinate and attend virtual and in-person presentations and events.
- Coordinate travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
- Travel to and attend local and national events as a vendor representing Judi's House/JAG Institute.
- Assist communications manager in the ongoing content development and maintenance of the Judi's House/JAG Institute website and related products.
- Work with finance team on invoicing and accounts receivable for JAG Institute products and events.
- Enter data and manage a variety of spreadsheets, databases, and filing systems.
Clerical and Administrative
- Provide administrative support to JAG Institute efforts including taking notes and sending follow requests/summaries as needed.
- Manage schedules and calendars, including scheduling appointments, inviting relevant personnel to meetings, triaging meeting requests, and being proactive in addressing conflicts.
- Prepare and proofread internal and external correspondences to ensure that communication is accurate and error free.
- Coordinate agendas and scheduling of relevant meetings.
OTHER DUTIES AND RESPONSIBLITIES:
- Promote the values of JH/JAG throughout the organization and external relationships.
- Attend team and organizational meetings, activities, and events as required.
- Collaborate with JH/JAG staff and perform job duties to advance the organization's mission and vision.
- Demonstrate ability to work independently and within a team, seeking guidance as appropriate.
- Comply with all organizational policies and procedures.
- Commitment to JH/JAG mission.
