EXECUTIVE ASSISTANT
JOB SUMMARY
The Executive Assistant will provide a full range of comprehensive administrative support to the CEO of Rainbow Health. This position will play a critical role in maintaining efficient communications and productive relationships with internal staff and external key stakeholders. This person will also route correspondence, maintain the CEO’s calendar, and provide support to the Board of Directors.

For nearly 40 years Rainbow Health has been advocating for and serving the LGBTQ community, those living with HIV, and all folks facing barriers to equitable healthcare. Since our formation through the Minnesota AIDS Project and Rainbow Health Initiative merger—and later the acquisition of Training to Serve—we have continued to grow and identify new ways to commit to our mission.
ESSENTIAL FUNCTIONS
- Completing a broad variety of administrative tasks that enhances the CEO’s ability to effectively lead Rainbow Health towards the agency’s mission, including but not limited to managing an active calendar, scheduling meetings, completing expense reports, preparing complex documents, and more.
- Acting as a liaison to the Board of Directors, and handling all logistics for meetings, including confirming attendance, distributing materials, and adhering to bylaws.
- Reading, researching, and routing correspondence; drafting emails and documents; collecting and analyzing information; handling follow up calls and initiating initial contact as requested.
- Attending select meetings to take notes, capture action items, and ensure follow through.
- Ensuring items are delegated or addressed and understanding conflicting demands.
- Researching, prioritizing, and following up on issues and concerns addressed to the CEO, including those of a sensitive or confidential nature, and determining appropriate course of action, referral, or response.
- Overseeing Administrative Assistant by providing direct supervision, performance management, and work direction.
- Securing offsite locations and handling all arrangements for offsite staff or board meetings.
- Providing overall administrative support to include scanning, mailing, etc. and other duties as assigned.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent.
- 3-5 years’ experience working in an environment requiring attention to detail, working with confidential information, and partnering with peers throughout the organization. Experience supporting an Executive Director or CEO highly preferred.
- High level of proficiency in Microsoft Office.
- Strong understanding of deadlines.
- Proficiency in a second language other than English.
- Individuals with lived experience or a passion towards our target populations (Gay/Bi/MSM/Queer, Transgender, African American, multi-racial communities that are disproportionately impacted by HIV, HIV positive people and those engaging in risk behaviors for HIV in individual and group settings) are encouraged to apply.
WORK ENVIRONMENT
- Work for this role is currently being done in a hybrid format with mix of working from home, in the office, and attending organizational meetings. This role will need to be flexible with this due to the nature of the work.
- Employees working in person with clients or out of our offices are required to show proof of vaccination and attest to their vaccination status upon hire. Employees who are not vaccinated will be required to show a negative COVID-19 PCR test result once a week if working with clients or in our offices.
