We are seeking a Project Coordinator to join the Nashville office. The candidate assists lawyers, performing a variety of information management functions and factual investigation. The position is responsible for coordinating practice support for a designated client or group of clients, including contributing to preparation of client budgets and billings. This person has demonstrated the ability to manage all aspects of a deal or case within his or her area of expertise and may supervise or train other paralegals or project assistants as needed. Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.
Supervising partner(s), practice group chairs, lawyers, Director of Administration, Firmwide Director of Paralegals, Paralegal Manager, paralegals, and external clients
ESSENTIAL DUTIES
- Examines, organizes, analyzes, and summarizes information relating to particular questions and organizes its communication into a logical and usable work product
- Investigates factual issues by using a variety of sources, including libraries, websites, client repositories, and other outside sources
- Maintains client-, matter-, or practice-group-specific resources in electronic format or hard copy
- Assists in all aspects of the deal or case, including, but not limited to, drafting transactional documents and pleadings, coordinating document productions, administering trusts and estates, assisting with real estate transactions, and creating and maintaining spreadsheets
- Maintains all administrative standards set by the firm, including the preparation and submittal of daily time entries, attendance at administrative meetings, legal keying all client relevant/firm information, and other administrative tasks as assigned
- Communicates and enforces firm policies as necessary
- Coordinates with vendors and service providers for outside services, if necessary, following the firm’s procurement policies
- Delegates work assignments and monitors workloads and capacity of timekeepers and other support personnel as necessary
- Contributes to the preparation of client budgets, reviews proformas, and coordinates with firm’s accounting and billing departments to provide regular billing support for client(s) as directed by the supervising partner
- Manages and trains project assistants and administrative staff as necessary
- Develops procedures and systems to provide effective legal services
- Provides input regarding hiring and performance reviews
- Meets all responsibilities of a Senior Paralegal experienced in the specific practice area supported by this position
ADDITIONAL DUTIES
EXPERIENCE SKILLS REQUIRED
- College Degree preferred with at least 5 years of paralegal experience in the relevant subject area
- Leadership and management skills
- Ability to follow detailed instruction and handle complex work
- Demonstrated proficiency in Microsoft Office applications and specific practice-group technology
- Must be able to produce accurate results
- Ability to anticipate, plan, and prioritize work while managing competing demands to meet deadlines
- Excellent interpersonal and communication skills
- Demonstrated ability to meet obligations with confidentiality, integrity, and sensitivity
- High attention to detail and the ability to follow up on assignments with little or no guidance from leadership
- Critical thinking skills sufficient to make independent decisions regarding daily work tasks
- Ability to bring problems, concerns, or discrepancies to the attention of the supervising lawyer
- Working knowledge of basic accounting principles and Excel
- Must be current in practice area industry trends and in the legal profession
ADDITIONAL ABILITIES REQUIRED
- In addition to the generic qualities and skills discussed above, candidates for practice area specific positions may require certain educational credentials and skills. These candidates are expected to have academic expertise in the practice area of interest as well as the generic skills previously described.
- This job operates in an office setting and is largely sedentary, requiring the routine use of a computer and other standard office equipment. The ability to open file cabinets, lift files, bend and stand on a stool may also be required.
