We are seeking a diligent and experienced Private Collections/Debt Collection Specialist to join our team at a nursing home facility. In this role, you will be responsible for managing the private collections and debt recovery process for the nursing home, ensuring timely and efficient resolution of outstanding payments from residents or their responsible parties. Your primary goal will be to optimize the collection process, minimize bad debt, and maintain positive relationships with residents and their families. This position requires a strong understanding of collections practices, excellent communication skills, and the ability to work compassionately with individuals and families in challenging financial situations.

 

Key Responsibilities:

 

Debt Collection and Account Management:

 

Monitor and manage the collection process for outstanding balances owed by residents or their responsible parties, ensuring compliance with applicable laws, regulations, and internal policies.

Contact residents, families, or responsible parties to discuss payment obligations, resolve disputes, and negotiate payment arrangements.

Maintain accurate and up-to-date records of all collection activities, communications, and payment arrangements in the billing and collections systems.

Implement effective strategies to expedite the resolution of delinquent accounts, utilizing appropriate collection techniques, such as phone calls, letters, and legal actions when necessary.

Collaborate with legal counsel, external collection agencies, and other relevant parties to escalate collection efforts as appropriate.

Financial Counseling and Assistance:

 

Provide compassionate and supportive financial counseling to residents and families facing challenges in meeting their payment obligations.

Assist in assessing eligibility for government assistance programs, insurance coverage, or alternative payment options to help residents and families alleviate financial burdens.

Coordinate with social workers, financial advisors, and other professionals to provide comprehensive support to residents and families in managing their financial responsibilities.

Billing and Documentation:

 

Review and reconcile billing statements, ensuring accuracy and completeness of charges, payments, and adjustments.

Investigate and resolve any billing discrepancies or errors promptly and professionally.

Generate and distribute regular reports on outstanding balances, collection activities, and other relevant financial metrics to the management team.

Relationship Management:

 

Maintain positive relationships with residents, families, and responsible parties throughout the collections process, demonstrating empathy, understanding, and professionalism.

Address inquiries, concerns, and complaints related to billing and collections promptly and effectively.

Collaborate with the admissions team to ensure that clear financial expectations and policies are communicated to new residents and their families.

Compliance and Documentation:

 

Stay updated on relevant regulations, laws, and industry best practices related to debt collection, privacy, and data security.

Ensure compliance with all legal and regulatory requirements, including but not limited to the Fair Debt Collection Practices Act (FDCPA) and Health Insurance Portability and Accountability Act (HIPAA).

Maintain accurate and confidential documentation of all collection activities, adhering to data protection and privacy standards.

Qualifications:

 

High school diploma or equivalent required; associate or bachelor's degree in finance, accounting, or a related field is preferred.

Proven experience in private collections, debt recovery, or accounts receivable management, preferably in a healthcare or long-term care setting.

Solid knowledge of debt collection laws, regulations, and best practices, including familiarity with the Fair Debt Collection Practices Act (FDCPA).

Excellent communication and negotiation skills to engage with residents, families, and responsible parties in a compassionate and professional manner.

Strong organizational and time management abilities to prioritize collection efforts, manage multiple accounts, and meet deadlines.

Proficiency in using collection software, billing systems, and Microsoft Office suite.

Attention to detail and accuracy in financial calculations, billing reconciliations, and documentation.

Ability to handle sensitive and confidential information with discretion and maintain strict confidentiality.

Empathy, patience, and strong interpersonal skills to work effectively with individuals and families in challenging financial situations.

Ability to work collaboratively with cross-functional teams, including social workers, administrators, and legal counsel.
