ASSISTANT COMMUNITY DIRECTOR

SUMMARY

Under the supervision of the Community Director, the Assistant Community Director is responsible for assisting the Community Director. Primary responsibilities include ensuring that the community generates satisfactory cash flow and that the property is maintained in accordance with Kairoi standards and assures customer satisfaction.

JOB DUTIES

  • In the absence of the Community Director, the ACD is in charge of the office and shall become responsible for all monies pertaining to the community and must ensure daily bank deposits are made. Lost or missing funds shall become reimbursable to Kairoi.
  • Show apartments and process applications for prospective residents. Assure that lease or rental agreements are being properly completed and renewed.
  • Handle and coordinate all details of move-ins and move-outs.
  • Accurately process paperwork and ensure all data in the resident files such as income, credit reports, assets, etc. are kept confidential.
  • Posting rent and preparing bank deposits.
  • Prepare and maintain resident files according to Section 42, requirements and company policies.
  • Initiate the lease renewal process.
  • Preparing late notices, lease renewal letters, and assisting the Community Director with various managerial reports as requested.
  • Assists with the eviction of tenants in compliance with the court order and directions from Attorneys and Regional Manager.
  • Actively participate in maintaining good resident relations in the community.
  • Prepare weekly traffic/renewal status reports.
  • Keep the advertising file up to date.
  • Inspecting apartments recently vacated to determine the disposition of the security deposits.
  • Ordering office supplies when needed.
  • Training new employees as requested by the Community Director.
  • Cooperate with other departments within the company.
  • Handle any other special assignments which may be given from time to time by the Community Director.

COLLECTIONS

  • Ensure residents submit rental payments on time.
  • Contact residents with delinquent balances to secure payment.
  • Ensure late fees are entered into leasing and rents and collected from the resident.

RESIDENT RELATIONS

  • Participate in resident relations programs.
  • Aggressively pursue resident retention.
  • Assure prompt and positive action on all resident complaints.
  • Continually provide excellent customer service to all residents and prospective residents.
  • Communicate with your residents about community news.

SUPERVISORY RESPONSIBILITIES

  • Carries out supervisory responsibilities in the absence of the Community Director.

QUALIFICATIONS

EDUCATION AND EXPERIENCE

Associate’s degree (A.A.) or equivalent from two-year college or technical school; or two to three years related experience and/or training; or equivalent combination of education and experience.

SKILLS

  • Familiar with federal, state, and jurisdictional laws and regulations concerning multi-family housing, Fair Housing, and employee safety.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to effectively present information and respond to questions from owners, residents and the general public.
  • Ability to calculate figures and amounts such as discounts, commissions, percentages.
  • Ability to solve problems and deal with a variety of circumstances involving residents, prospects, and emergency situations.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Valid Driver's License with no major violations within the past 12 months is required.

  • Requires the ability to sit or stand for long periods of time, with frequent interruptions, including reaching, bending, or carrying.

  • Occasionally lifts, carries, positions, or moves objects weighing up to 25 pounds.
  • The working environment is typically in an office setting, with an occasional need to leave the premises for business purposes.
  • Requires the ability to drive an automobile in order to make bank runs or to attend meetings.
  • Requires the use of a telephone, fax machine, computer, printer, calculator, copy machine, and other typical office equipment.
  • May work non-traditional hours, including evenings or weekends in order to complete work or to attend meetings.
  • Must have a valid State Driver’s license.
