Summary of Functions
Receives all incoming calls, supports human trafficking advocate and management staff with administrative duties and assists guests visiting the Kalispel Tribe Victim Assistance Services satellite building in Airway Heights, WA.
Essential Duties and Responsibilities
- Receives, appropriately greets and transfers all incoming callers in a polite, expedient and accurate manner.
- Refers all inquiries from the media and other public relations situations to the Public Relations Coordinator or Marketing Manager.
- Occasionally performs Courier duties (Including distribution of internal mail).
- Reconcile Credit Cards and reports.
- Handle travel arrangements, including flight, hotel and car reservations.
- Provides information to guests as requested, and ensures all information is correct.
- Responsible for document preparation and proof reading.
- Operates the main fax machine logging all received faxes and distributing faxes to appropriate offices.
- Memorizes employee’s names, their respective job titles and description of their duties in order to transfer calls to appropriate extension.
- Performs variety of clerical duties and projects including but not limited to assisting with copy jobs in the copy center, stocking paper in the cabinets, and refilling copiers, printers and fax machines.
- Process incoming/outgoing mail and shipping request ensuring the appropriate method of shipping is used when needed.
- Departmental filing and organization.
- Maintain confidentiality.
- Ensure supplies are available and reports on volume when needed.
- Completes copying and/or mass mailing requests.
- Conducts necessary inventory ordering and receiving of office supplies for department.
- Ensures control/protection of company assets.
- Available and willing to work any changes in hours deemed necessary for Business Levels.
- Adhere to all applicable tribal, federal, or state privacy laws and regulations, including but not limited HIPPA and 42 CFR Part 2.
- Responsible for maintaining a consistent, regular good attendance record.
