ADMINISTRATIVE ASSISTANT
POSITION DESCRIPTION
I. POSITION:
A. Serve as lead staff person for handling all incoming phone calls and walk-in traffic.
B. Perform general office duties to assist KAR staff members.
C. Assist in preparing course materials and classroom set-up and clean up.
D. Maintain membership records in database system.
II. RESPONSIBILITIES:
1. EDUCATION:
a. Assist in preparation and distribution of course schedules and information.
b. Handle incoming calls from members and the public regarding education schedules, registration, costs, etc.
c. Prepare and distribute all course confirmations, including Principles of Real Estate and other courses as deemed necessary.
d. Assure education materials are copied and inventoried for on-site courses and available for shipment to students.
e. Prepare and email materials to instructor prior to each course.
f. Upload all education rosters to the respective Real Estate Commissions within established timelines.
g. Maintain inventory of all course materials and supplies and place orders when need to replenish.
h. Coordinate projects and/or tasks for furthering the Association educational programming as assigned.
i. Assist in securing facilities and instructors for education courses held throughout the state. Create a location information schedule for distribution to association staff members, instructors, local boards, etc.
j. Assist in annual renewal of courses with the Kansas and Missouri Real Estate Commissions. Update all rosters and certificates with renewal education codes.
2. ASSOCIATION ADMINISTRATION:
a. Answer all incoming phone calls to the Association office.
b. Maintain office copier/stock room in a neat and orderly fashion. Maintain and order office supplies when needed or requested. Serve as key contact for printer/copier maintenance and supplies.
c. Assist KAR Staff with projects, tasks and preparations for meetings, events and conferences as needed throughout the year.
3. MEMBERSHIP, MEMBERSHIP RECORDS, DATABASE MAINTENANCE AND M1:
a. Assist in processing membership records and maintaining membership database in RAMCO.
III. QUALIFICATIONS:
It is recommended the person for this position should:
A. Have exceptional phone and customer service skills.
B. Be proficient with Microsoft Office Suite.
C. Have experience with database software.
D. Be detail oriented with strong organizational skills and a desire to learn.
E. Be able to work independently in an open office environment.
F. Have a desire to understand associations and their valued work.
G. Possess a valid driver’s license.
H. Be able to lift and/or move objects up to forty (40) pounds.
Job Type: Full-time
Pay: $35,000.00 - $40,000.00 per year
