We are seeking a full-time Administrative Assistant to join our Facilities Management team. This position provides administrative and operational assistance to the Facilities Management department in the coordination and delivery of support services which includes maintenance of buildings, housekeeping, safety and security, biomedical engineering, waste management, and regulatory compliance of the physical environment. The enterprise consists of an orthopedic surgical hospital, physician clinics, and multiple off-site locations for rehabilitative services, physician clinics, and accounting staff. Must have the ability to plan, prioritize, and quickly adapt to complete tasks while working in a very dynamic and fast-paced environment.
This position is full-time, Monday-Friday, 40 hours per week.
Six major holidays off.
Paid time off begins accruing immediately with hours worked.
ESSENTIAL FUNCTIONS:
- Act as a liaison for all customer departments and off-site locations regarding their needs for any of the support service functions.
- Coordinate the completion of service requests and/or follow-up related to facilities repairs, housekeeping, and other building support services. Communicate as needed to appropriate in-house staff or contractors.
- Maintain roster of contracted workers such as housekeeping, security, and others as needed. Obtain schedules and coordinate holiday staffing.
- Assist departmental staff in the completion of required education, including contracted workers.
- Assist director with communications to in-house staff and contracted workers, including any changes to enterprise policies and procedures.
- Assist director with communication and education to staff across the enterprise, when needed.
- Organize information for regularly occurring reports such as Safety Committee, Performance Improvement, quality audits, etc. Assist with maintaining contract files.
- Maintain digital and paper filing systems for regulatory compliance related to the physical environment, including inspections and other data collection activities.
- Maintain information for all locations of the enterprise, such as address, site contact, contractor lists, and any other pertinent records for support services-related functions, including city inspections, maintenance repairs, testing and inspections, etc.
- Set up conference rooms for scheduled meetings.
- Assist with management of key control, parking management, and access control.
- Assist with sourcing and ordering supplies used by facilities, biomed, or housekeeping.
- Coordinate contracted services for vending, coffee, water dispensers, and copy machines.
- Collect information regarding lost, found, and misplaced items. Maintain custody and disposition of these items.
- Present safety and security information at new hire orientation, in the absence of director.
- Perform quality audits, when needed, for the various support services functions, such as housekeeping and regulated medical waste.

Requirements:
- 1-5 years of relevant experience and/or training, or equivalent combination of education & experience, preferably in a hospital environment or commercial property management setting.
- Proficient with Outlook, Microsoft Word, and Excel.
- Experience with computerized maintenance management systems (CMMS) preferred but not required.
- High school diploma or equivalent (GED)
- Must read, write, and speak English
- Intermediate mathematical skills
