Job Overview:
As our Accounts Payable Clerk, you will support the Finance/Accounting division of the Indiana Division of The Salvation Army by reviewing, processing invoices, researching checks and ensuring that our systems are accurate.
What you will do:
- Enter data for all approved invoices and check requests.
- Research check requests lacking required elements and obtain complete information before entering in A/P system.
- Review invoice batch edit lists before updating system with finalized entries.
- Save invoice entries to proper accounting period.
- Work with Corps Accountants to notify officers of outstanding invoices and receive authorization to process payments.
- Print checks and place them in envelopes to be mailed.
- Prepare vendor notification letters for uncashed stale-dated checks.
- Update log of voided checks and unclaimed property.
- Maintain consistent file naming conventions in paperless records as required for all A/P functions.
- Notify supervisor when checks need to be reordered.
- Add vendors as needed to Shelby accounting system and identify as 1099 vendors if applicable.
- Assist Corps Accountants in preparing 1099s at year end, reporting personal property, and other duties as assigned.
Minimum Qualifications: The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.
Education: High School Diploma. Two-year accounting degree strongly preferred
Background Checks: Position requires a background check to be completed. Findings may disqualify an individual for this position
Experience: Minimum of two years working in accounting for an organization highly preferred. 2 years’ of experience working with computer spreadsheets and word processing software.
Skills/Abilities:
- Strong understanding of Generally Accepted Accounting Principles (GAAP)
- Ability to speak, write and understand English in a manner sufficient for effective communication with leadership, office personnel and field personnel.
- Be self-motivated with strong organization skills
- Ability to work well as part of a team
- Proficiency with PC and Microsoft Office applications Knowledge of The Salvation Army structure and policies useful but not required.
