POSITION SUMMARY The Electronic Health Records Technician is responsible for maintaining the electronic health records for Katahdin Valley Health Center patients. The person in this role will manage medical record information and enter data into the electronic medical and electronic dental records. RESPONSIBILITIES 1. Organizing and managing patients' health information data within the patients’ records. 2. Fax/Scan/upload any medical or dental information into the patients’ records. 3. Manually input data as required for quality tracking. 4. Maintain the integrity of the EHR systems from a data entry standpoint. 5. Access electronic mail systems as needed. 6. Access HealthInfoNet information data exchange and download records, as needed. 7. Work in collaboration with the New Patient Coordinators and the Medical Records Coordinator, as needed. 8. Participates in the Care Team as outlined in Team Approach to Care Protocol. 9. Performs additional duties or projects as assigned by the Health Records Manager. 10. Adheres to all KVHC policies and protocols. 11. Complies with all safety rules and protocols. Reports all incidents, regardless of severity, immediately to their supervisor and completes an incident report and investigation form, which will be forwarded to Human Resources within 24 hours of the incident. 12. Conducts themselves as a good steward in the communities served by KVHC; represents the organization at outreach activities as needed. 13. Actively participates as committee member as assigned by the Chief Executive Officer. 14. Interacts harmoniously and effectively with others. Focusing on the attainment of organization goals and objectives through a commitment to team work. 15. Conforms to acceptable attendance and punctuality standards as expressed in the employee handbook. 16. Abides by the organization’s compliance program and requirements 17. It is always okay, and usually preferable, to pause, and take time to reflect before reacting to a situation. EDUCATION AND EXPERIENCE 1. High School graduate or equivalent required. 2. Working knowledge of general business office equipment. 3. Excellent computer skills including working knowledge of Microsoft Office products including Word and Excel. 4. Completion of a medical terminology course. (preferred, not required) 5. Ability to communicate clearly and effectively with proper grammar, both in writing and verbally. 6. One year or more working experience in a health care setting. 7. Must be able to work independently and collaboratively in a team setting with minimal supervision and to react to change productively. 8. Must have excellent interpersonal skills, critical thinking skills, time management skills, and problem solving skills. 9. Must possess the ability to follow all KVHC safety procedures. 10. Must possess a clean criminal and DHHS background. 11. Must possess the ability and means to travel between clinics, as needed. 12. Valid State of Maine Driver’s license and the ability to be insured by KVHC’s vehicle insurance carrier. FUNCTION, DEMANDS AND PHYSICAL PERFORMANCE Requires full range of body motion with the ability to bend, kneel and stoop. Must possess: the ability to sit and or stand for long periods of time, the ability to lift approximately 30 lbs., visual acuity with color vision, the ability to communicate effectively and calmly in a professional manner, the ability to follow all workplace policies including safety and confidentiality, the ability to perform repetitive 3 | P a g e Confidential Last updated: March 29, 2022 motion keyboarding functions, exposure to communicable disease, toxic substances, medicinal preparations and other conditions common to clinic environment. Knowledge of organizational policies, regulations, and procedures to administer patient care. Must possess the ability to work with and around medical equipment and instruments safely and effectively as appropriate. Knowledge of common safety hazards and precautions to establish a safe work environment including Safety Data Sheets. Skill in preparing and maintaining records, writing reports, and responding to correspondence. Skill in developing and maintaining department quality assurance. Skill in establishing and maintaining effective working relationships with patients, medical staff, and the public. Ability to maintain quality control standards. Ability to react calmly and effectively in emergencies. Ability to interpret, adapt and apply guidelines and procedures. Ability to communicate clearly.
