JOB SUMMARY: Work alongside all members of the Purchasing Department and CPA as a team to process paperwork as required on all software systems (HB1, JDE/AS400, Word, Excel, Outlook). Interact with appropriate internal and external personnel to respond to or resolve issues relating to purchasing policies and/or procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Manage time to most effectively meet the department’s goals each day. Meet deadlines with complete and accurate information. Minimizing the effect of unexpected interruptions on long term and daily tasks.
- Appliance orders - Oversee Whirlpool appliance orders and coordinate with the Centralized Purchasing Agent located in Arizona to ensure that any late change requests are submitted and sent to Whirlpool; delivery dates are met per the construction schedule; backorders are reviewed and followed up on in order to obtain delivery dates.
- Subcontractor Billing & Accounting Liaison – Coordination between the Division, National Accounting and Purchasing Administration (NAPA) and Subcontractors on any questions that should arise regarding payment status, invoice aging and lien releases, etc.
- Purchasing Software – Oversee all coordination duties required for department software systems (reset passwords, train internal and external associates).
- Monthly Purchasing Reports - Responsible for generating monthly reports for Director of Purchasing and VP of Finance and communicate the appropriate action on any open amounts that we have not paid the subcontractor; this would also includes credits that go out 30 days or greater.
- New Vendor Set-Up – Coordinate with Subcontractor to ensure we have proper documentation in place; distribute to the Subcontractor the Master Contract.

Internal:
- Director of Purchasing (daily) – communicate work progress and any outstanding issues.
- Options Manager - communicate work progress and any outstanding issues.
- Purchasing Agent (as necessary) – communicate on any subcontractor payment issues.
- Centralized Purchasing Administration (as needed) -
- National Accounting and Purchasing Administration (NAPA) (as needed) – provide support for all issues relating to subcontractors’ payment.
- Production Department (daily) – provide support for any concerns regarding contracts, options, starts.

External:
- Subcontractors (as needed) – provide support regarding questions or concerns with KBTPO and payments.
- Whirlpool (as needed) – communicate status of new orders, back-orders and replacement parts.

- Additional assignments as may be needed
Education:
- High School Diploma or GED required. Accounting or Business Management degree is helpful but not necessary
- Construction product and process knowledge helpful, Residential Purchasing and Contracting preferred,
- 1 to 2 years of General Office Organization, Contract Administration, Administrative Assistance experiences.
- Ability to maintain the highest Ethical behavior
- Self-motivated and able to work in a collectively responsible team environment.
- Ability to stay organized and manages priorities in an efficient manner.
- Proficient in using MS Word, MS Excel, MS Outlook {mandatory}, AS/400 and HB1 experience preferred.
- Exceptional communication skills necessary, both written and verbal; detail oriented with good follow-up and follow-thru skills.
- Good people and problem solving skills required
