Job Summary
This position provides departmental support to the offices of Institutional Advancement, Grant Development, Alumni Association and other related departments as assigned. This may include preparing/reconciling budgets, creating and distributing correspondence, making purchases, and other office support functions. This position will use a variety of software including PeopleSoft, Excel and contributor relations platforms.
Job Duties:
1) Prepare financial forms including requisitions, check requests, cash receipts, etc. for the department. Track the budget with PS Financials and Quickbooks Pro and reconcile monthly. Run procurement card statements monthly and prepare for submission to business office. Maintain office supplies and order as needed.
2) Prepare donor and related correspondence, meeting/event invitations, reminder letters/memos and various other business correspondence.Serve as contact for boards.
3) Maintain confidential donor files and maintain donor wall. Run reports as needed for Advancement, Grant Development, Alumni Association and other related departments.Maintain databases and organize bulk mailings.
4) Review scholarship applicants' financial aid status (EFC) and GPA and keep records curent. Assist with readying grant proposals for submission and maintain Alumni Association Records.
5) Coordinate and host special events. Serve on all special event organizational committees for fund raising events, groundbreakings, dedications, etc.
6) Other duties as assigned.
Minimum Qualifications:
Associate’s degree or equivalent in related field
1-2 years experience
