Operations Director
KEY RESPONSIBILITIES
Operations
Implement efficient operational policies and procedures.
Discover new operations systems to improve overall performance.
Recruit, onboard and train new operations staff.
Oversee onboarding of new agents to team
Ensure quality control with current staff.
Provide continued education for current operations staff, along with continued mentorship.
Analyze process workflow, employee and space requirements – initiate changes to accommodate.
Implement a consistent system for the operations team to generate reviews and referrals to contribute to the team's overall profitability.
Devise ways to improve the overall client experience, including communicating customer issues with the operations team and finding resolutions.
Ensure operations department functions within the provided budget.
Serve as liaison between operations and sales.
Communicate all operating policies and/or issues at team meetings.
Provide leadership for the organization as a whole.
Develop long-standing and beneficial partnerships with vendors
Develop clear communication processes within operations, and between sales and operations.
Assist in making important policy, planning, and strategy decisions.
Grow and develop leadership/personal skills through continued self-development.
Oversee planning and implementation of client events
Review, manage and own integrity of team financials; working with controller and CEO to manage P&L; pay invoices and manage team expenses
Attend and prepare for Team Trainings (Monday Meetings, Quarterly Planning, etc)
Review and maintain Boomtown vitals
Assist agents with database maintenance to include auditing smart drips, e-alerts and lead follow-up
Ensure agents and OC use of the Sisu daily
Optimize and audit sisu platform used by ops team to ensure timely completion of tasks and build out robust checklists
Ensure team members' participation in monthly Livian initiatives
Weekly 1:1 accountability zoom call with Director of Client Care
Attend Livian webinars and classes and implement new ideas that will benefit the team, including weekly Hub Ignite Calls
Monitor Livian Closed Group on Facebook for relevant training and resources for Listing Management, Compliance, Marketing, and Transaction Management.
Oversee Social Media Marketing Campaigns – with Operations Coordinator & Marketing Team
Oversee management of team Instagram account
Oversee management of team Facebook account
Team Growth
Support CEO with productivity support and help stay on track of top priority items
Collaborate with CEO on expansion vision, recruiting and growth of team(s)
Maintain a ‘big picture' perspective to be able to connect groups within the company to work together to solve problems as they arise.
Help promote company culture through daily positive reinforcement and coordinating team events.
Assist with onboarding/new agent launch with Agent Services Division
Collect SOI and database from agents
Hold CEO accountable to team goals, track & report metrics as needed (update business boards daily/weekly)
Pull weekly recruiting reports in Sisu
Facilitate and coordinate training opportunities for the CEO to attract talent
Maintain vendor relationships and vendor database
Facilitate marketing efforts to build team brand & recruit talent to team
Manage recruiting list and send monthly recruiting newsletters, Bootcamp, Inman articles and to assist in sending bulk emails/texts for upcoming recruitment events.
