Position Summary
Position provides job related financial support to project management team to ensure timely and accurate reporting of project financial data to evaluate operating results in terms of profitability and performance against budget. Responsible for project set-up, commitment tracking, job accounts payable, cost tracking, and cost accrual information on assigned projects in accordance with established company policy and procedures. Ensure customers are billed expeditiously and accounts are current. Utilize all tools available to ensure that all subcontractor/vendor invoices are processed and payments are timely.
ESSENTIAL DUTIES AND RESPONSIBILITIES (“Incidental” job duties may be included but must be indicated. Other essential and incidental job duties may be assigned.
- Project analysis and reporting
o Review budget entry when jobs are created in Company Accounting Software to ensure that Accounting Software budgeted cost agrees with estimate and investigate differences.
o Maintain and track changes to estimated job costs with Original Estimate (as bid) and Revised Estimate (initial estimate as bought out). Monitor job costs by phase for variances, investigate, and provide details to PM, PX and EVP in a timely manner.
o Ensure that Subcontract invoices are being charged to proper cost code and phase prior to posting in the Accounting Software.
o On a monthly basis, using the Job Cost Report, forecast General Conditions on jobs. Must compare cost to date vs. progress and scheduled completion and provide details to PM, PX and EVP.
o Review Subcontract and Purchase Order reports and ensure that amounts are up to date and Committed Costs are accurate.
o Monthly assist Project Managers with projections and Costs to Complete.
o Assist Project Managers, Project Executives and Executive Vice President with other job related reporting as requested
- Assist Project Managers and Assistant Project Managers with electronic documentation file management that should include contracts, change orders, billings, estimates and emails. Report missing project documentation to the Project Managers and Assistant Project Managers and assist in locating the missing Information. Ensure electronic project files always have all required project documentation.
- Assist Project Managers and Controller with Collections. Meet monthly with Project Managers and Controller on status of open invoices and retention.
- Keeping a record of all project finances for internal/external auditing and tax purposes.
- Researching market trends and projecting construction-related price increases/decreases.
- Developing and maintaining strong relationships with vendors and suppliers.
- Keeping abreast with both the construction and accounting industry.
EDUCATION AND/OR EXPERIENCE (Include necessary licenses and specialized training)
- 2 or 4-year college degree desired
- 2-4 years of construction accounting experience or equivalent combinations of education and experience
- Excellent knowledge of construction cost accounting and related financial procedures.
- Familiarity with accounting software Viewpoint Vista, preferred.
- Working knowledge of the construction industry.
- Superior analytical and problem-solving skills.
- Advanced skill level in Excel
- Attention to detail.
- Excellent written and verbal communication skills
- Well organized with solid time-management skills
- Ability to multitask and thrive in a fast-paced environment.
