PAY: $25.00/hour
HOURS: Monday-Friday
- 1st shift: 8:00am - 5:00 pm
Assignment Duration: Long-Term
SUMMARY OF JOB:
- Provides general administrative support to Hayward Site.
- Exercises discretion and independent judgement in managing flow of work.
- Requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision.
- Detailed-oriented. Collaboration and commitment are key for this position.
- Must be proficient in using Word and Excel.
What’s a typical day as an Administrative Specialist? You will:
- Provide a wide variety of professional administrative support under limited direction to leaders, colleagues, or groups in the organization.

- Review and maintain documents and records in accordance with company guidelines.
- Specific job duties include:
Maintaining Library Documents
1. Check twice monthly for CTT tasks due and input dates on excel spreadsheet to easily identify when document should be received.
2. Collect documents from production and ODMS coordinator’s box every morning
3. Review documents for completeness. If not complete, contact the document inspector on record to correct errors.
4. Check documents to confirm that print date and document completion date meet 48hr requirement
5. If document is missing, track down document by reaching out to whoever closed the task.
6. If inspection checklist reflects a failure, create an “In Progress Inspection Form” for filing and refer document to EHS or Maintenance
7. Input completed documents’ date and “In Progress” information on Excel spreadsheet.
8. File all completed CTT entered documents by the 1st week of following month
9. Communicate every month to leadership regarding missing documents by crew
10. Maintain documents in binders/tubs per identified retention
Prepare Records Center documents.
1. As needed, provide office with labels appropriate for records center storage
2. Maintain and update an archive document location list in WebEDMS
3. Records Retention – Destroy items outside of retention in Warehouse Cage
4. Ship items to Corporate annually
5. Order official labels for admin file boxes
Create and Maintain Physical Library
1. Create covers, spines and indexes for binders using appropriate section colors.
2. Audit and destroy documents which are outside of retention date.
3. Order supplies to maintain Library.
Procedure Formatting
1. Send notifications regarding procedures needing to be reviewed by owners - at minimum once a month
2. Compare reviewed procedures and updates against approved procedure template
3. Reformat procedures if out of alignment or is missing required information
4. Work with procedure owner to make corrections if the information needed is outside the scope of responsibility
