The Bluegrass Station Division is hiring an Administrative Specialist III that provides professional support to the division head, office or unit in developing, implementing and maintaining the complex Facilities Management Work Order (FM Works) programs, projects or activities and performs other duties as required.

The Bluegrass Station Division is hiring an Administrative Specialist III that provides professional support to the division head, office or unit in developing, implementing and maintaining the complex Facilities Management Work Order (FM Works) programs, projects or activities and performs other duties as required.
Job duties include but are not limited to the following:
- Reviews requests in the complex FM Works program to determine funding requirements/availability of materials/labor needed.
- Processes/edits/inputs requests.
- Prints/distributes funded requests for execution.
- Reviews completed requests for accuracy.
- Enters labor hours/material/costs/invoices/other supporting documents against each work request before closing.
- Collects complex program data.
- Edits/analyzes data & executes program status reports to management staff for in-depth analysis of operational maintenance statistics.
- Trains field staff on proper use of FM Works software ad speak on FM Works at briefings/functions when necessary.
- Adds/deletes personnel as users in the FM Works system as necessary.
- Processes all necessary documents for contracts of work to be performed by outside vendors such as affidavits, complete and submit all purchase and payment requests from vendor when job is complete.
- Responsible for troubleshooting calls from state/federal FM Works system users/managers/other personnel.
- Provides appropriate customer service by person, telephone and/or email for all staff within/outside the agency.
- Maintains inventory of radios/radio supplies/vehicles/equipment/office supplies/janitorial supplies and PPE.
- Maintains radio call list/BGS Directory.
- Photographs and tag new state property.
- Coordinates turn in of surplus property with Facilities Division.
- Completes annual CAFRS inventory and vehicle lists.
Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
